Summary

The Senior Proposal Specialist is a key player in F.H. Cann & Associates (FHC's) business Development Team. Primary tasks include authoring compelling, winning proposals that highlight the strengths of FHC and adhere to corporate branding. The successful Senior Proposal Specialist candidate will perform primary functions in vetting proposal opportunities to respond to those that best align with FHC's services and values. They will oversee the processes in creating, managing, and delivering contract proposals prior to deadlines.

The Senior Proposal Specialist will collaborate with members of FHC's Leadership Team and other Subject Matter Experts (SMEs) as needed to ensure proposals are accurate and contain all requested information as outlined by the Request for Proposal (RFP) requirements. This is a writing intensive role with emphasis on proposals in the collections and contact center verticals, with special attention to government and higher education opportunities. This position reports to the Director of Proposal Management and Development.

Duties Include, but are not limited to:
  • Assist in the overall process of proposal development, from vetting potential opportunities through technical writing, proposal submission, debrief, and areas for proposal improvement.
  • Writing - Ability to write persuasively while understanding the evolving landscapes of contact center and collections work, in tandem with internal changes made within the company.
  • Organize material and complete proposal development according to set standards regarding compliance, order, clarity, conciseness, style, and terminology.
  • Maintain Standard Boilerplate/Content Library to account for updated records, files, and revisions.
  • Edit, standardize, or make changes to material prepared by other writers to ensure compliance with RFP requirements.
  • Maintain registration with Federal and State procurement systems to allow successful submission of proposals.
  • Monitor approved RFP notification sites for upcoming and current RFPs.
  • Collaborate with department heads and SMEs to obtain required content to consistently submit winning proposals.
  • Assume responsibility as Project Manager for larger proposals that may include leadership, internal SMEs, and consultants, holding those on the team accountable for quality content, deadlines, and editing sessions.
  • When electronic delivery is not an option, ensure proposals are formatted according to required specifications and delivered timely and prior to submission deadlines.
Position Requirements

Core Competencies
  • Ability to learn about FHC as a company, our standard operating procedures, and market verticals in one-on-one training settings with the Director and other members of the Proposal and Marketing Team.
  • Understanding of the complete proposal life cycle and the ability to complete all phases through to submission.
  • Ability to work on multiple assignments/deadlines while maintaining a high level of precision and attention to detail in a fast-paced team environment that rewards focus and concentration.
  • Able to creatively answer proposal questions to keep evaluators engaged.
  • Highly skilled with MS Word, Adobe Acrobat, and PowerPoint.
  • MS Project, Visio, Adobe Creative Cloud (Illustrator, InDesign Photoshop, etc.) a plus.
  • Nights and weekends are generally not required. Must be willing to work beyond typical business hours to meet proposal deadlines (as needed).
  • Dependable and available during business hours of 8am-4:30 pm Eastern.
  • Must be able to find creative, innovative ways to answer qual questions on RFPs given the resources provided.

  • Organization - Preparing proposal outlines in accordance with RFP requirements. Ability to organize past and new content.
  • Reading Comprehension - Attention to detail and understanding the conventions of standard English grammar and usage.
  • Active Listening - Giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times.
  • Critical Thinking - Using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems.
  • Written Expression - The ability to communicate information and ideas in writing so others will understand.
Work Environment
  • Main markets include contact center, collections, and back-office processing with a specialization in higher education and state/federal level contracts. Industry experience preferred but not required.
Working from home Requirements:
  • This role might support occasional or permanent remote work.
Physical/Mental Demands
  • Physical Demands - While performing the duties of this role, an employee is frequently required to sit, talk or hear, in person and by telephone; use hands to operate standard office equipment; reach with hands and arms. The employee is occasionally required to stand and walk and to lift and carry reports and records weighing up to 20 pounds. Specific vision abilities required by this job include close vision and the ability to adjust focus.
  • Mental Demands - While performing the duties of this role, employees are regularly required to use written and oral communication skills; read and interpret data, information, and documents; analyze and solve problems; observe and interpret situations; learn and apply new information or skills; perform highly detailed work on multiple, concurrent tasks; work under intensive deadlines; and interact with vendors and staff in the course of work.


Required Education and Experience
  • A bachelor's degree in English field or equivalent experience
  • 1-3 years professional writing experience
  • 2+ years of Federal contract/proposal experience.
Security Clearance Requirements
  • Must be able to pass Federal background screening and/or state level criminal background screening.
