The Shipping, Receiving, Purchasing & Inventory Specialist is responsible for receiving and shipping materials and verifying their quality and accuracy. As Purchasing Specialist this role is responsible for establishing relationships with suppliers and purchasing the highest quality and most cost-effective materials and supplies and managing purchase orders. As Inventory Specialist this role efficiently maintains and evaluates inventory supplies and storage.
Essential Functions and Responsibilities:
Shipping & Receiving
- Prepares shipments for postal or commercial conveyance; confirms customer-driven carrier and/or most economical and efficient shipping method; uses appropriate shipping packaging; packs items to ensure safe delivery.
- Communicates shipments to customers and sales personnel.
- Receives and unloads incoming materials and compares information on packing slip with purchase order to verify accuracy of shipment; may process return shipments from customers.
- Sorts, packages, labels, insures, and/or confirms sales orders to inventory which is shipped or received.
- Notifies the quality department when materials requiring inspection are received and places in inventory upon quality's approval.
- Inspects shipments for damages or defects; records discrepancies or damages and notifies supervisor and/or purchasing personnel.
- Delivers items to requisitioning departments and obtains authorized signatures for accepted items.
- Tracks shipments and/or customer claims of lost shipments; initiates proof of delivery documents.
- May operate dolly, pallet jack, and/or forklift in loading and unloading supplies and equipment; may assist in routine maintenance of equipment and shipping area; may lock warehouse and set alarms.
- Prepares global shipping documents, including commercial invoices, bills of lading; checks items to be shipped against work orders to ascertain that quantities, destination, and routing are correct.
- Collaborates with purchasing to alert them when shipments are incomplete.
- Required to assist Management with shipping in the ERP system and completing jobs
- Evaluate potential suppliers to the addition of the approved supplier list.
- Re-evaluate approved suppliers annually to ensure compliance to our requirements and maintains records of these evaluations.
- Compare and analyze price proposals against competing suppliers to determine reasonable pricing, quality and speed of delivery for volume needed.
- Ensure that the supplier can deliver the desired materials on time, in the correct quantities, and without sacrificing quality. Select suppliers based on those who consistently meet these requirements.
- Research sales records, inventory levels, and stay current on industry trends and environmental changes affecting supply and demand for products in the market.
- Evaluate and negotiate cost effective pricing, shipping & delivery methods and contract terms with suppliers.
- Communicate any product defects with vendor and renegotiate pricing and/or reimbursements based on product integrity and on time delivery.
- Create purchase orders within the ERP system for product ordering and tracking.
- Review and research ERP inventory system to analyze and identify cost effective savings, establish purchasing goals and negotiate purchases.
- Other duties as assigned.
- Develop and implement inventory systems, processes, and procedures to ensure accurate inventory levels are maintained.
- Responsible for internal processes that support the handling of all inventory movement activities from receipt, usage, output, shipping of inventory, reworks, samples and returns; create new or improve existing systems to control inventory.
- Collaborate with all areas within the company to perform cycle and physical inventory counts.
- Perform inventory investigations to understand shrinkage and surplus, report discrepancies, perform adjustments and implement solutions to reduce these issues within inventory
- Review and analyze reports that identify system and people errors that affect the integrity of the inventory reporting systems; suggest and implement solutions to reduce and eliminate errors.
- Provide recommendations to department supervisors to improve the setup or location of materials for efficient material storage, space utilization, and handling
- Understanding of Epicor basic functions related to inventory control, bin management, basic accounting/cost management of inventory transactions, warehouse management and shipping systems.
- Follows established departmental policies, procedures, and objectives, continuous quality improvement objectives and safety, environmental, and/or infection control standards.
- Exemplifies company core values in all interactions.
Education and/or Experience:
- Associates Degree in Business highly preferred, or 2+ years of relevant work experience.
- Working knowledge of Federal Express, UPS and commonly used freight carrier labeling and shipping procedures.
- Broad knowledge of material handling and inventory processes.
- Intermediate level computer skills required in the operation of MS Word, Outlook and global shipping methods.
- Working knowledge and experience with ERP systems and ISO13485 requirements Epicor preferred.
- Ability to lift and carry packages weighing 55lbs on a frequent basis.
- Minimum 2 years of forklift driving experience.
Day Shift Monday- Friday
