GENERAL DESCRIPTION Provides district support for all facility rentals in the district. Performs general duties for the rental of all district buildings, grounds, and athletic facilities for district and community group use. Acts as Ad-Astra database administrator for all district buildings. Provides in-service to all building secretaries as needed. Acts as liaison between administrators, teachers, custodians, and district personnel with all community organizations renting facilities. Exercises independent judgment to facilitate effective office functions and positive community relations. II. EXAMPLES OF DUTIES AND RESPONSIBILITIES A. Issue all permits for rentals. B. Approve all organizations and individuals seeking to rent school facilities. C. Record all building schedules submitted in June for permitting the following year. D. Coordinate and record all subsequent school building requests throughout the school year. E. Communicates daily with building secretaries and custodians, and district maintenance department concerning permit usage. F. Screen, coordinate, approve, and process community organizations, for inside and outside facilities use during the year, observing all state, local and Board of Education regulations and laws. G. Compute charges for all permits issued, issue invoices, collect charges and accurately record all payments. H. Continue to upgrade the Ad Astra software program to meet the needs of the SMSD facility office. I. Maintains all records i.e.: insurance documentation, customer data base etc. for all groups using district facilities. J. Prepares all reports required by the Board of Education. K. Resolves all conflicts with building administration and outside community groups. L. Coordinate all day care programs in district, initiate leases, and serves as district liaison. M. District liaison with all district municipalities using facilities. i.e.: Special Olympic. III. TRAINING, SKILLS, AND EXPERIENCE REQUIREMENTS A. High School graduation or GED. College preferred. B. Prior experience with school facilities rental programs preferred. C. Ability to establish and maintain effective working relationships with building personnel and outside community organizations D. Computer knowledge experience required. E. Experience with Ad Astra or related rental software program preferred. F. Ability to exercise good, sound judgment in making decisions with only general supervision. G. Knowledge of all building facilities and grounds to include all athletic facilities. H. Must be flexible, adaptable, and able to function effectively under pressure while maintaining a professional demeanor. I. Must have basic accounting skills or experience. In addition, as an organization/community that reflects and appreciates diversity, bilingual communication skills are noted and valued.
