The Manager of the Medical Staff works with hospital administration and the Medical Staff. Coordinates support and provides resources needed for enabling them to fulfill their duties and obligations as defined by national regulatory agencies. Your Everyday

Initiates, oversees and maintains confidential research required for credentialing activities: Coordinates the initial application process, the reappraisal and reappointment process and the delineation of clinical privileges for all members of the medical staff and allied health professional staff. Accepts all completed applications, reviews the application for completeness and compliance with the Medical Staff Bylaws and Credentials Policy. Follows local, state and federal agency, state licensing board, TJC standards and policies and procedures approved by the Medical Staff organization and hospital governing board. Maintains documentation for TJC surveys. Ensures the completion of the application process according to guidelines outlined in the Medical Staff Bylaws and Medical Staff policies and procedures. Conducts new applicants through the credentialing process. Prepares and reports research and forwards to department chairpersons, Medical Staff committees and to the Governing Board for review and action. Maintains individual practitioner files for all medical staff members and allied health professionals. Keeps up to date information basis new appointee addition. Provides details necessary for new and current appointees to the hospital departments after the Governing Board.

Oversees and assures compliance of committee, department and Medical Staff meetings as addressed in the Medical Staff Bylaws and Rules and Regulations: Supervises the scheduling of monthly meetings and related medical staff activities. Maintains calendar of medical staff events and distributes same monthly. Assures secretarial coverage of meetings, resources and support to Medical Staff officers, committee(s) and department chairpersons. Oversees the preparation of documentation of Medical Staff activities. Maintains documentation of all minutes for TJC surveys. Channel decisions, directives and/or recommendations back through appropriate departments or committees. Prepares a monthly summary of Medical Staff committees and department activities as required for review/action by the Governing Board. Works with the Medical Staff leadership in preparing new committees including maintenance of committee rosters, letters of appointment and other letters for retiring committee members.

Provides support and administration support to the Medical Staff: Stays current on TJC guidelines addressing Medical Staff issues and requirements. Monitors and stays current on Medical Staff Bylaws, credentialing activities, and Medical Staff policies and procedures. Recommends changes in Bylaws, credentialing forms, policies and procedures based upon research and knowledge of current requirements. Provides ongoing support for Medical Staff Officers, department and committee chairpersons regarding required duties in activating ad hoc committees, preparing correspondence, etc. Prepares annual committee chairperson reports and other reports as requested by Medical Staff leadership and/or hospital administration. Acts as an information resource for staff officers, committee/department chairperson and medical staff members.

Provides ongoing direction and supervision of the Medical Staff Services Office personnel: Maintains a current and accurate Medical Staff roster and distributing revisions to all hospital departments. Ensures adequate training and evaluates work performance on a regular basis. Performs annual written evaluations. Develops and updates departmental policies and procedures manual and job descriptions. Ensures that secretarial support is provided for all Medical Staff activities and miscellaneous clerical duties.

Performs administrative, leadership and customer service activities: Participates as a member of the Medical Affairs division by providing information, insight, communication to other divisions and department managers in order to support the goals of the hospital. Participates in the preparation of a yearly budget. Monitors expenses of the department to stay within approved budget. Participates in continuing educational activities as approved by TJC, National Organization of Medical Staff Services (NAMSS), and other organizations addressing Medical Staff management activities.

Coordinates all activities of Medical Education: Schedules and coordinates monthly resident orientation at LCMC. Schedules department representatives to address new residents during orientation. Acquires all necessary documentation and completed applications of all residents. Responsible for the preparation of the annual IRIS report. Prepares and approves KRONOS timesheets for all fellows acting as house physicians. Performs annual written evaluations on a timely basis for fellows acting as house physicians. Prepares monthly schedule of residents/fellows/students rotating through LCMC.

The Must-Haves

Minimum:

EXPERIENCE QUALIFICATIONS

3 years of hospital experience, preferably in a Medical Staff Office.

EDUCATION QUALIFICATIONS

Required: Bachelor's degree in Business Administration or equivalent health care administrative field.

LICENSES AND CERTIFICATIONS

Preferred: Certified Professional in Medical Staff Management (CPMSM); Certified Medical Staff Coordinator (CMSC) or Certified Provider Credentialing Specialist (CPCS)

SKILLS AND ABILITIES

Knowledge of medical staff methods and procedures. Knowledge and skill in modern office practices and administration. Advanced computer skills, ability to manage databases, analyze problems and develop solutions. Ability to develop and maintain effective relationships with the medical staff and other professionals in order to engender confidence, respect and dependability. Ability to maturely handle a variety of problems and situations, sometimes of a critical or urgent nature. Ability to develop and implement methods and procedures for improvement of the comprehensive and specialized credentialing program. Ability to express ideas effectively orally and in writing and to handle confidential information.
