About the Department and/or College

The Information Technology Business Office supports all administrative needs for the Texas Tech University System - Office of the CIO, Technology Operations & Systems Management, Communication Services, and Information Systems.

Major/Essential Functions

  • Supporting role to the Business Manager and Executive Associate of the TTUS CIO Office of IT Business Operations (TTUS ITBO) team. 10%
  • Responsible for meeting team goals and communicating effectively among all team members. 15%
  • Responsible for collaborating with the TTUS ITBO Billing Team for all aspects of customer billing, including producing customer bills, ensuring customer billing accuracy, reconciling customer accounts, resolving customer billing questions and complaints, managing vendor invoice uploads to the billing system, and creating and monitoring service rates. Responsible for collecting payments, processing customer refunds and adjustments, and managing outstanding accounts receivable. 15%
  • Responsible for assisting in procurement processing for the TTUS Office of IT, including processing procurement requests, managing the procurement card reconciliation, managing travel as applicable, soliciting vendor quotes, and adhering to institutional Procurement policies and procedures. 10%
  • Responsible for supporting the TTUS IT Business Office in processing activities related to Accounts Payable, including processing vendor invoices for payment, reviewing invoices and receipts for completeness and accuracy, identifying and resolving discrepancies, adhering to institutional Accounts Payable policies and procedures, and managing credits and disputes. Responsible for maintaining accurate financial records in the accounting system, including coding expenditures according to established procedures and reconciling with the established budget. 15%
  • Sharing co-responsibility among teammates in following and facilitating HR business processes for the TTUS Office of IT, including recruiting, hiring, onboarding new staff members, training coordination, and adherence to institutional HR policies and procedures. 10%
  • Interact with vendors on behalf of the TTUS Office of IT. Aid or assist in overall vendor management, including vendor valuation and selection, contract negotiation and compliance, cost management, risk management, and performance metrics. 10%
  • Help plan and coordinate events such as business lunches, training workshops, and State Employee Charitable Campaign (SECC) speakers on behalf of the TTUS CIO IT. 10%

Required Qualifications

Bachelor's degree in related field. Three (3) years related experience; OR a combination of related education and/or experience to equal seven years.

Preferred Qualifications

  • Knowledge of accounting, finance, or related area.
  • Advanced proficiency in the use of a personal computer and current software applications including but not limited to Microsoft Excel, Word and Outlook. Ability to multi-task, analyze data, and communicate effectively (verbally and in writing) with customers and co-workers.
  • Familiar with Texas Tech systems such as Banner, TechBuy, Cognos, ChromeRiver, etc.
