Development Events Manager

to drive the planning and execution of engaging events in support of the goals and objectives of the Development team. This is a highly collaborative role that will work closely with a diverse set of constituents across multiple internal teams, community volunteers, and external vendors.

This is a full-time in-person role that requires working some evenings and weekends during the school year.

Essential Responsibilities: Event Management

Produce five to eight annual events for purposes of donor cultivation, stewardship, and/or direct fundraising: Develop and document event goals, financial and nonfinancial, and track progress toward attainment. Coordinate all associated vendors, catering, and logistics. Track and manage expense budgets. Utilizing the Raiser’s Edge database and other platforms to manage event RSVPs, guest lists, and other factors associated with participation such as seating charts and special accommodations. Develop a run-of-show for each event and ensure participating team members and volunteers are prepared for their roles as appropriate. Prepare the Head of School and other key staff attending events by creating attendee bios and other materials Drive communication efforts associated with all events including invitations, social media posts, RSVP reminders/confirmations, special instructions for guests, presentation materials/talking points, and peer-to-peer outreach. Review event performance and course correct strategies for future events as needed. Partner with Alumni Relations team on cross-departmental events

Volunteer Management & Donor Stewardship

Coordinate and support volunteer efforts associated with event planning and logistics; serve as staff liaison for all event-related committees, prepare materials for committee meetings, and assist with fulfillment of assigned tasks. In partnership with the Director of Philanthropic Strategy develop comprehensive post-event strategies to deepen attendee connectivity; engage development team members to support strategic outreach. Track and support fulfillment of event sponsor benefits, such as name recognition, invitations to future events, and post event communication. Organize, track, and oversee the creation and installation of physical naming opportunities ensuring that lists are accurate and up to date

Qualifications

Education and Experience: Bachelor’s degree or equivalent experience 3 or more years of experience in event management, nonprofit fundraising, or related field Experience with volunteer management Familiarity with Chicago private event venues and vendors Required Skills/Abilities: Organized self-starter, with impeccable attention to detail, and the ability to manage multiple competing priorities Ability to work in a high-paced environment and effectively pivot from one discipline to the next on a frequent basis Ability to manage projects with several variables, set realistic deadlines, manage a timeline, and ensure accountability. Strong verbal and written communication skills Collaborative work style with a focus on providing exceptional service across multiple constituencies Excellent interpersonal and relationship management skills Computer proficiency including familiarity working with Raiser’s Edge, Asana or other project management tools, and Google Office Suites Physical Requirements: Prolonged periods of sitting at a desk and working on a computer Ability to work some evenings and weekends Ability to lift and carry items weighing up to 30lbs Latin School embraces diversity of people, cultures, and ideas and is an equal opportunity employer.
