Job Summary: Assists patient service departments as needed. Greets, instructs, directs, and schedules patients and visitors. Answers phones, makes appointments and takes messages for patients in the call center. Serves as liaison between patient and medical support staff.

Required Knowledge, Skills, Abilities:

1. Possess a current Oregon State Drivers License and have reliable independent transportation everyday. Have a phone, either cell or home.

2. Experience dealing with the public in a fast paced, customer service oriented environment or office setting.

3. Ability to communicate clearly, professionally, and courteously. Ability to read, understand, and follow oral and written instruction.

4. Must live close enough to arrive to work within 30 minutes of a phone call.

5. Ability to work in a fast paced environment, while keeping close attention to accuracy.

6. Knowledge of grammar, spelling, and punctuation in order to forward patient information to the medical staff. Must be able to pass the required spelling and typing test.

7. Must be able to work flexible hours and shifts. Available for weekend and holiday rotations.

8. Must be detail-oriented and have the ability to prioritize a variety of tasks.

9. Ability to work independently and as a team participant.

Essential Functions:

1. Travel to patient service sites as requested. Work flexible hours and shifts.

2. Answer telephones promptly and cordially, following the department scripting and protocol.

3. Take messages and relay information to the nursing staff or physician, or make appointments as indicated by the circumstances and medical office policy.

4. Cancel and reschedule appointments as directed by the template detail clerk or team leader.

5. Review future appointments to ensure appropriate utilization of appointment time slots.

6. Obtain referrals if needed for coordination of insurance benefits.

7. Greet patients and visitors in a prompt, courteous, and helpful manner.

8. Check in patients, verify and update necessary information in the medical record. Input pertinent demographics, insurance information, and appointment data into automated appointment system, electronic health record and on patient processing documents as needed.

9. Determine, inform, and collect appropriate visit fees. Validate patient visits, document and certify payments, and balance the cash drawers.

10. Refer patients to the Credit or Business Office for clarification of insurance coverage as needed.

11. Refer to Patient & Provider Relations for resolution of disputes and/or patient concerns as needed.

12. Observe waiting areas and reassure patients awaiting service for lengthy periods of time. Notify licensed medical and/or nursing personnel of patient emergencies, need for assistance, or lengthy waits.

13. Distribute and/or assist patient in completion of forms.

14. Participate in departmental meetings, problem solving groups, and in-service educational opportunities on an ongoing basis.
