The ProServ Operational Support Coordinator will play a crucial role in ensuring the smooth and efficient functioning of our professional services operational processes. This position is responsible for supporting resourcing management, capacity planning, coordinating staff onboarding, generating resource utilization reports, facilitating training sessions, managing partner time entry, and processing partner purchase orders (POs). Job Description:

Key Responsibilities:

Resourcing and Capacity Planning:

  • Assist in the development and maintenance of resource allocation plans to meet project demands and timelines.
  • Monitor and report on resource availability and capacity, ensuring optimal utilization.
  • Collaborate with project managers to forecast resource needs and address any potential resource conflicts.

Staff Onboarding:

  • Coordinate the onboarding process for new hires, ensuring all necessary documentation and training are completed.
  • Serve as the primary point of contact for new employees during their onboarding period.
  • Maintain and update onboarding materials and documentation.

Resource Utilization Reporting:

  • Generate and analyse reports on resource utilization to provide insights and recommendations for improvement.
  • Track and report on key performance indicators (KPIs) related to resource management.

Training Coordination:

  • Schedule and coordinate training sessions for staff, ensuring all necessary materials and resources are available.
  • Maintain training records and monitor the completion of mandatory training programs.
  • Liaise with trainers and external training providers as needed.

Partner Time Entry and Purchase Orders:

  • Oversee the time entry process for partners, ensuring accurate and timely submissions.
  • Manage the creation, approval, and tracking of partner purchase orders.
  • Reconcile partner invoices with POs and time entries to ensure accuracy and compliance.

Operational Support:

  • Provide general administrative support to the operations team, including scheduling meetings, preparing reports, and maintaining records.
  • Assist in the development and implementation of operational processes and procedures.
  • Act as a liaison between different departments to ensure seamless communication and coordination.

Required Experience:

  • 3+ years of experience in an operational support or coordinator role, preferably within the technology or Financial Services industry sector.
  • Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.
  • Proficiency in using resource management and reporting tools (e.g., MS Excel, project management software).
  • Excellent communication and interpersonal skills.
  • Detail-oriented with a proactive approach to problem-solving.
  • Ability to work independently and as part of a team in a fast-paced environment.

Preferred Qualifications:

  • Experience with working in a start-up and/or professional services environment.
  • Knowledge of resource planning and capacity management methodologies.
  • Familiarity with onboarding processes and training coordination.
  • Experience in managing purchase orders and partner time entry systems.
