Adult Education Intake Coordinator

Position Summary
The Part-Time Adult Education Intake Coordinator serves as the primary point of contact for inquiries related to Adult Education ESOL/GED class schedules and associated fees. This role involves direct interaction with students to facilitate the smooth functioning of the Adult Education program. Collaboration with campus staff is essential to enhance student services.
QUALIFICATIONS, KNOWLEDGE, AND SKILL REQUIREMENTS:
- High School Diploma or GED equivalent from an accredited institution; or an Associate's degree;
- Proficient in computer operations and keyboarding skills;
- Prior experience in customer service is preferred.
KEY RESPONSIBILITIES:
- Welcoming and assisting the public through phone and in-person interactions in a courteous and professional manner;
- Taking and relaying telephone messages;
- Coordinating client appointments for CASAS/TABE assessments and facilitation sessions;
- Supporting adjunct instructors with electronic attendance management;
- Contacting students with high absence rates;
- Assisting in the maintenance of departmental files and records in compliance with confidentiality policies.
SPECIFIC DUTIES:
- Managing multiple phone lines and addressing inquiries related to the ESOL/GED program;
- Organizing Outlook calendars and scheduling new intake facilitation appointments;
- Making reminder calls for those scheduled for CASAS/TABE tests;
- Entering student applications, CASAS/TABE scores, Student Data Summary Forms, and special designators into the registration system;
- Assisting students with registration, scheduling, holds, edits, transient student processes, residency for tuition purposes, and program modifications;
- Performing filing, copying, and sorting of mail;
- Understanding the college's organization, goals, objectives, and policies;
- Demonstrating strong customer service skills;
- Exhibiting a strong ability to learn program details;
- Familiarity with class offerings in the Adult Education Program;
- Ability to follow both oral and written instructions;
- Possessing excellent interpersonal and communication skills;
- Projecting a positive image of the college and its programs;
- Working effectively in a diverse and multicultural environment with students, faculty, and staff;
- Providing initial assistance to students regarding web admission queries;
- Ensuring accurate processing of admissions and registration records requests;
- Completing additional tasks as assigned under supervision.
PHYSICAL REQUIREMENTS:
This position necessitates the ability to sit, stand, walk, bend, lift, reach, stoop, and occasionally carry items exceeding twenty-five (25) pounds. Manual dexterity is required to operate standard office equipment, including copiers, faxes, calculators, telephones, and other necessary tools. Compliance with safety standards is expected while employed by the college.
Classification Staff Supervisory No FLSA Exempt No Employment Type Temporary (Fixed Term) Compensation Pay range starts at: $15.00/hour | All salary calculations start at the minimum salary and will be based on candidates' education and experience | Open until filled.
