Job Summary The Office of the State Superintendent of Education (OSSE) is the State Education Agency for the District of Columbia charged with raising the quality of education for all DC residents. OSSE is focused on sustaining, accelerating, and deepening the progress being made for the District’s 90,000+ students. OSSE serves as the District’s liaison to the U.S. Department of Education and works closely with the District’s 470+ early childhood facilities, 250+ schools, 60+ local education agencies (including DCPS and charter organizations), and community-based organizations to provide critical programming and resources to our stakeholders. This position is located in the Office of the State Superintendent of Education and reports directly to the Assistant Superintendent in the Division of Teaching and Learning. The incumbent serves as Executive Assistant and acts as assistant liaison in the accomplishment of selected assignments, including special projects and programs, such as planning and executing annual events celebrating exemplary District of Columbia educators. Duties And Responsibilities The Executive Assistant will: Manage all aspects of scheduling for the Assistant Superintendent. Receive, review, and respond to scheduling requests on behalf of the Assistant Superintendent. Greet and escort clients and stakeholders on behalf of the Assistant Superintendent. Receive phone calls and retrieve voicemail on behalf of the Assistant Superintendent and forward questions and requests for information to staff as appropriate. Receive correspondence on behalf of the Assistant Superintendent and forward information to staff as appropriate. Review documents prepared for the Assistant Superintendent's signature to ensure that materials are grammatically accurate and that all supporting documents are provided; recommend editorial changes to staff. Work to ensure that the practices and procedures used by staff are consistent with those of the agency. Coordinate all aspects of travel to and from meetings, and travel requests related to conferences, trainings, etc. on behalf of the Assistant Superintendent. Manage and process reimbursement requests on behalf of the Assistant Superintendent. Develop and maintain office systems and procedures, ensuring that the accuracy, timeliness, and feasibility of a variety of administrative support functions are carried out appropriately. Manage and maintain an organized filing system on behalf of the Assistant Superintendent. Assist the Assistant Superintendent in coordinating and monitoring practices and procedures utilized by the support staff to ensure compliance with all applicable regulations and procedures. Respond to written inquiries and administrative problems brought to supervisor by members of the immediate staff. Perform a wide range of routine and complex tasks that are critical to the mission of the agency. Complete administrative and support tasks generated by the Assistant Superintendent. Type and prepare a variety of correspondence from brief oral and written instructions, utilizing office automation equipment. Support the Assistant Superintendent and the Division of Teaching and Learning in planning, organizing, and hosting annual events celebrating exemplary DC educators. Qualifications And Education Applicants must possess at least one (1) year of specialized experience equivalent to the next lower grade level in the normal line of progression. Specialized experience is experience that has equipped the applicant with the knowledge, skills, and abilities to successfully perform the duties of the position, and that is typically in or related to the position to be filled. Examples of specialized experience include: ability to interpret and analyze problems, communicate effectively, both verbally and in writing. Other Significant Factors Tour of Duty: Monday - Friday; 8:30AM-5:00PM Duration of Appointment: This is an Education Service (ES), “At-Will” Appointment. All positions and appointments in the Education Service serve at the pleasure of the appointing authority and may be terminated at any time with or without cause.
