Executive Administrative Assistant

JOB SUMMARY
The Executive Administrative Assistant will support the executives in achieving greater levels of success, and to growing his/her own skills and developing into a supportive leader within the team.
The EA must have excellent written and verbal skills, the ability to handle multiple tasks, and strong attention to detail. The Executive Assistant will perform, coordinate, and oversee administrative duties while providing an extensive level of support enabling the Executive Leadership Team to work more efficiently and effectively towards reaching the organization’s growth goals.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Communications
· Record, transcribe meeting notes and supporting documents for board meetings and executive team meetings.
· Act as the first point of contact on behalf of the EVP with internal and external clients
· Manage multiple calendars (Arrange meetings and appointments and provide reminders)
· Effectively relate well with others, including supervisors, colleagues, and individuals. Exhibit a professional manner in dealing with others and working to maintain constructive working relationships.
Reporting
· Produce reports, presentations, and briefs (document minutes and accurately enter data)
· Convey information both orally and in writing to supervisors, colleagues, and individuals, inside and outside the organization, using language and a format the audience will best understand.
· Take personal responsibility for the quality and timeliness of work. Meet productivity standards, deadlines, and work schedules.
All other duties as assigned
QUALIFICATION STANDARDS
Required Experience
· Scheduling experience for C-Level executives
· Sense of curiosity, urgency and accountability that lends itself to creative problem solving
· Ability to manage multiple projects and assignments in a timely and quality manner
· Able to work independently and with the C Level Executives
· Ability to influence and establish credibility, trust, and confidence with clients and colleagues.
· Ability to write well, communicate verbally in a succinct and persuasive manner, and interact effectively with a wide range of individuals, e.g., colleagues, lenders, funders, low-wealth and minority borrowers, and technical assistance providers.
· Strong analytical, time management, and organizational skills, including a high level of attention to detail and ability to work independently.
· 3-5 years’ experience as an Executive Assistant to a high-level executive in a deadline-oriented business environment
· Proficiency in MS Office with emphasis on Excel and Outlook calendaring, HR liaison, travel, corporate correspondence
· High level of discretion, maturity, and sense of humor
· Impeccable written and verbal communication skills; diplomacy and tact
Preferred Experience
· Experience working with board management software
· Microsoft Excel & Microsoft Calendaring: 5 years
· Experience in non-profit board participation and government advisory committee participation

Physical & Schedule Requirements:
While performing the duties of this job, the employee is occasionally required to stand; walk; sit; and climb stairs. Specific vision abilities required include ability to read printed materials and computer monitors.
