This position will process HokieMart orders for purchasing and receiving, processing reimbursements, goods, and services orders as well as organizing and maintaining financial documentation. This position also will research issues that arise with vendors and/or in the controller's office. Responsibilities also include processing monthly reconciliations and transfers, processing travel approvals, and reimbursements, assisting faculty with travel accommodations, assisting in tracking faculty start-up spending and budget allocations, and issuing visitor parking passes. The Business Operations Specialist will also provide administrative support to the director of our school, the associate directors, and the assistant directors (e.g. calendar scheduling, arranging guest visits, and/or task management). Job DescriptionThe Myers-Lawson School of Construction (MLSoC) is seeking a full-time Business Operations Specialist to provide the School with fiscal and administrative support. Areas of responsibility include: - Processing reimbursements, goods, and services orders- Purchasing- Organizing and maintaining financial documentation, - Researching issues with vendors/controller's office, - Processing monthly reconciliations and transfers, - Processing travel approvals and assisting faculty with travel accommodations, - Assisting with tracking faculty start-up spending and budget allocations, - Issuing visitor parking passes - Providing administrative support to the director, associate directors, and assistant director (e.g. calendar scheduling, arranging guest visits, and/or task management).- Enforcement of all relevant College of Engineering as well as the University policies and procedures.The Business Operations Specialist directly reports to the MLSoC Business Manager.Required QualificationsPostsecondary education in office technology, accounting, or equivalent combination of education, certifications, training, and experience. Previous experience in a bookkeeping, accounting, or fiscal position. Proficiency with current office computer software such as Excel, Word, and Outlook/Google.Preferred QualificationsExperience with University fiscal and administrative procedures. Working knowledge and experience with HokieMart, ChromeRiver, and the University's CashNet System. Good interpersonal, communication, and organizational skills and ability to maintain confidentiality.
