Job DescriptionWe are seeking a meticulous and strategic IT Vendor Management Specialist to join our team. This role will be pivotal in managing our relationships with external technology vendors to ensure seamless operations and alignment with organizational goals. The ideal candidate will possess strong analytical skills, negotiation prowess, and a deep understanding of IT vendor landscapes.Responsibilities Vendor Selection and Onboarding: Conduct market research and assess potential vendors. Collaborate with stakeholders to define vendor selection criteria. Manage the vendor onboarding process, including contract negotiations and service level agreements (SLAs). Contract Management: Develop and maintain vendor contracts in collaboration with legal and procurement teams. Monitor contract performance and compliance, ensuring adherence to terms and conditions. Handle contract renewals, amendments, and terminations, as necessary. Relationship Management: Cultivate strong relationships with key vendors. Serve as the primary point of contact for vendor communications. Address and resolve vendor-related issues promptly and effectively. Performance Evaluation: Establish metrics to assess vendor performance and quality of service. Conduct regular performance reviews and provide feedback to vendors. Drive continuous improvement initiatives with vendors to optimize service delivery. Risk Management: Identify and mitigate risks associated with vendor relationships. Develop contingency plans to minimize disruptions in vendor services. Ensure vendors comply with regulatory requirements and cybersecurity standards. Financial Management: Monitor vendor invoicing and ensure accuracy. Track vendor expenditures against budget and forecast. Identify cost-saving opportunities and negotiate competitive pricing. Vendor Portfolio Optimization: Evaluate vendor portfolios to streamline operations and reduce redundancy. Recommend strategic changes in vendor relationships based on performance and business needs. Stay informed about industry trends and emerging technologies to optimize vendor selection Qualifications Bachelor's degree in Business Administration, Information Technology, or equivalent experience. Proven experience in vendor management, contract negotiation, and procurement within the IT sector. Strong analytical and problem-solving skills. Excellent communication and interpersonal skills. Ability to manage multiple priorities in a fast-paced environment. Proficiency in vendor management software and Microsoft Office Suite.Preferred Skills: Certification in Contract Management (e.g., CPCM) or Project Management (e.g., PMP). Familiarity with ITIL framework and IT service management practices. Experience with ERP systems (e.g., SAP, Oracle) and procurement platforms.Vendor Portfolio Assessment and Optimization: Conduct a comprehensive review of existing vendor relationships and contracts. Identify opportunities to consolidate vendors or renegotiate contracts for cost savings and efficiency improvements. Aim to achieve a 10% reduction in vendor-related costs through optimization strategies. A reduction in the cost of running and supporting JD Edwards. A reduction in the cost of telecom and data services. Streamlined Vendor Onboarding Process: Revise and streamline the vendor onboarding process to reduce time-to-contract and enhance efficiency. Implement a checklist or standardized procedure for new vendor evaluations and approvals. Aim to shorten the vendor onboarding process by 20% without compromising quality or compliance.Professional Development and Certification: Pursue relevant certifications (e.g., CPCM, PMP) related to vendor management or contract negotiation. Participate in at least two industry conferences or workshops to stay updated on best practices and emerging trends in vendor management. Create a personalized professional development plan with specific milestones for career growth within the vendor management field.Documentation and Reporting Improvement: Implement a centralized repository for vendor contracts, performance metrics, and correspondence. Develop standardized reporting templates for quarterly and annual vendor management reviews. Achieve a 95% accuracy rate in documentation and reporting related to vendor management activities.
