Document Specialist Position Purpose:

This position is responsible and accountable for the processing of all regulated billing documentation meeting HCFA/MCC/JCAHO regulations and guidelines. Primary responsibilities include receiving and processing back-end documentation needed to meet month end deadlines assuring accurate billing. This position works closely with the Business/Facilities Manager in the tracking of untimely documentation and resolution of problematic billing issues. Acts as the liaison between the physician's office and the agency to assure the compliance of the physician's documentation.

What You Will Do:
  • Applies a current working knowledge of applicable Federal, State and local laws and regulations, Trinity Health Organization Integrity Program, Code of Ethics, as well as other policies and procedures in order to ensure adherence in a manner that reflects honest, ethical, and professional behavior.
  • Prepares and enters data into the appropriate software assuring the accuracy of the regulated client account following all regulations placed on the homecare agency. Ensures that input of information is accurate and paperwork is received timely for the submission of claims. Responds to all system issues by preparing documentation for the resolution center.
  • Generates all billing documentation needed to bill in a timely manner assuring industry standards are met. Monitors and processes the Billing Data Verification Report, On-Hold Billing Report and Client Audit Report on a weekly basis to assure timely and clean billing.
  • Utilizing the CQI Process Improvement technique, responsible for implementing and monitoring changes to processes to ensure continued integrity of client accounts. Works closely with the Intake Department to identify processes for improvement ensuring the accuracy of the billing process.
  • Provides statistical feedback regarding the status of billing/accounts receivable to Business/Facilities Manager on a monthly basis or as defined by policy. Offers assistance to the Business/Facilities Manager in the training of new billing coordinators.
  • Seeks assistance of Clinical Team Leaders and/or Business/Facilities Manager with clinical data entry and/or billing problems.
  • Coordinates the flow of billing related paperwork between the branch and THHS centralized regulated billing department. Works with the branch and THHS colleagues to identify areas of improvement related to billing. Actively participates in all billing conference calls between the agency and THHS.
  • Acts independently and responsibly to perform duties on a consistent basis and in a timely manner.
  • Ensures that services are provided in a manner that supports continuous quality improvement, customer-oriented focus and quality client care outcomes.
  • Acts as primary liaison between physician offices and the agency to assure compliance of the physician's orders following agency guidelines. Including traveling outside the office to physicians' offices, and other referral sources.

Minimum Qualifications:
  • Ability to articulate and demonstrate a commitment to the mission, vision and values of Trinity Health and to inspire active support of these in others.
  • High school diploma or GED required.
  • College business courses or an Associate Degree is preferred, or one to two years of experience in a medical billing office setting.
  • A strong knowledge of general business office functions, strong analytical and organizational skills and microcomputer usage is required.
  • Ability to meet strict deadlines with high level of accuracy, ability to prioritize multiple tasks in highly automated setting, and possess strong interpersonal skills.
  • Ability to consistently demonstrate commitment to the mission and Organizational Code of Ethics, and adhere to the Compliance Program.
