Description

Essential Job Functions:
  • Plan, organize and execute club-wide activity programs and events effectively and judiciously using club facilities and resources.
  • Assist and advise club members in planning and coordinating private functions and parties. Counsel members in the most effective use of club facilities and resources to best meet their entertainment and event objectives.
  • Coordinate functions and events with other club departments. Monitor general club calendar and other department event schedules to avoid conflicts in staffing, schedules, facility use, or other logistical problems.
  • Maintain on-going communications with department heads and other staff for scheduled events. Monitor and communicate any changes for club functions and catered events. Prepare and distribute Banquet event orders, weekly reports, and other communications to all departments involved.
  • Plan, assemble, and distribute all needed equipment and accessories for planned functions. Negotiate with vendors and coordinate outside resources, as needed. Track inventory.
  • Ensure that all event plans are executed properly at the time of the event. Monitor set-up activities and attend functions and parties to ensure that all operational plans are properly executed.
  • Maintain direct contact with membership and monitor member satisfaction for events.
  • Assists Director with planning and coordinating of weddings as follows:
    • Provide detailed information regarding venues at the club and availability with multiple venues for event
    • Provide members with preferred vendor list. Acts as liaison between and members and vendors. Attends meetings and reviews vendor contracts and assist with questions and logistics.
    • Assist in ordering rental equipment and working with member and vendor, offering guidance in proper equipment sizes and quantities.
    • Design a detailed time-line for the week of the wedding to include vendor time-lines.
    • Create/design floor plans and assist with stationary placements as needed.
    • Supervise all vendor and staff set up the day of the wedding.
    • Oversees all details on wedding day and events associated with the wedding.
Requirements

Skills & Knowledge:
  • Strong interpersonal and communication skills to interface and counsel members with courtesy and graciousness; to smoothly coordinate activities with various department staff at all levels; to effectively negotiate with vendors; to chair, as needed, weekly meetings with other departments to ensure the smooth running of all club functions and private events.
  • Strong planning and organizational skills to plan and execute catering programs and events.
  • Prior experience (5+ years) in banquet planning, catering, food & beverage service administration, or other related hospitality area is required.
  • Computer skills in Word, Excel, Publisher, Jonas, Power Point, and Google Calendar software programs.
