This position is responsible for the administration of association records management and credentialing systems. This individual will be responsible for managing standard operating procedures and ensuring accuracy and integrity of data related to these systems. The individual in this position will actively participate in driving strategy by working closely with departments to establish their information needs and procedures for the systems to help staff perform their work, building reports, and answering inquiries. This individual will be responsible for building collaborative and productive relationships with staff and be proactive in anticipating organization-wide needs.

Responsibilities

  • Ensures member data is up-to-date and accessible by staff.
  • Understands and analyzes business needs and abilities to enhance system efficiency and usage.
  • Ensures accuracy and integrity of data by performing thorough audits, validations, and regular data checks and updates and fills in gaps for data hygiene and maintenance.
  • Conducts gap analysis between current systems and organizational requirements.
  • Works with external consultants and vendor support for additional technical expertise.
  • Ensures business continuity of mission-critical applications.
  • Keeps abreast of latest trends and best practices in membership platforms.
  • Lead on technical integrations of other membership and communications platforms with association management system.
  • Manage organization’s association management and credentialing systems.
  • Ensures necessary support of the organization’s ecosystem including the operational effectiveness of integrated application software to enhance the members’ digital experience.
  • Help ensure that the association management system and credentialing management system are configured using best practices.
  • Empower and train staff about database-related needs, including updating data with accuracy and consistency to uphold business rules and performing simple queries.
  • Participate in the evaluation, selection, and deployment of new enterprise systems to ensure effective management of user records and credentials.
  • Manage users accounts and ensure database integrity.
  • Perform manual updates of information in the database as needed.
  • Work with colleagues to integrate other enterprise systems with NASBLA’s association management and credentialing systems. Understand cross-module functions to determine the impact of integrations.
  • Manage registration processes for association events and training courses within the enterprise systems.
  • Manage the process for issuing continuing education and course completion certificates.
  • Coordinate with the accounting department on invoicing and payments as they apply to the association management and credentialing systems.
  • Responds to inquiries related to membership data records

Qualifications

  • Proficiency in working with the membership platforms utilized by the association, or comparable products
  • Passion for customer service
  • Excellent written, oral, and listening communication skills, including the ability to help bridge communications between “technical” and “nontechnical” people
  • Strong project management skills to coordinate multiple activities and meet tight and sometimes competing deadlines, while maintaining attention to detail
  • Collaborative team player who can work cooperatively with a wide variety of internal and external constituencies, including members
  • Minimum associates degree or equivalent experience
