Description
The Property Administrator will be providing administrative support to the commercial property management team which oversees properties across the DMV area. The ideal candidate will be responsible for overseeing the day-to-day operations of our commercial properties, ensuring they are well-maintained and operating efficiently. This role requires strong organizational skills, excellent communication, and a thorough understanding of property management principles.
Key Responsibilities
Ensure timely communication written or verbal with vendors, tenants, and internal team members.
Handle tenant complaints and service requests promptly, ensuring tenant satisfaction.
Maintain accurate and up-to-date property records, including lease files, insurance certificates, and maintenance logs.
Assist in the preparation of property budgets, including tracking expenses, reporting variances, and invoice approvals.
Manage contracts, lease files, certificates of insurance, emergency call lists and vendor lists, maintenance schedules, etc.
Maintain commercial spaces by conducting walkthroughs, as necessary.
Schedule and prepare for meetings for necessary parties.
Support the Commercial property management team with administrative tasks and special projects as needed.
Perform other duties as assigned.
Qualifications
High School Diploma required
1-2 years’ experience as administrative support (preferably in real estate)
Exceptional oral and written communication, active listening, and organizational skills
Excellent computer skills, particularly with Microsoft Office and Excel, including calendaring function
Flexibility of work hours as work needs change
Ability to be credible, trustworthy, and operate with integrity
Must be customer-focused and results-oriented
Must want to continuously learn and develop
Ability to establish strong working relationships with others in team setting
Ability to multitask and prioritize tasks with a strong attention to detail in a fast-paced environment
Self-directed and able to work independently, with minimal supervision
