McHale Landscape Design is searching for the next great Assistant Shop Administrator to join its Fleet Management Team. In this role, you will serve as the employee's contact regarding fleet repair needs and oversee preventive maintenance compliance for the fleet. Additionally, you will support the shop with many different clerical tasks, including parts ordering, inventory management, data entry, and record keeping. This Temporary to potential Full-Time (not guaranteed) position reports at 6:30 am to the Upper Marlboro office daily (Mon-Fri).

McHale Landscape Design is a residential landscape architecture company and design-build firm dedicated to designing and constructing extraordinary residential gardens, pools, outdoor living areas, and home additions. Since 1981, the firm has designed, constructed, and planted residential projects throughout D.C., Maryland and Virginia, including more than 300 award-winning landscapes.

What an Assistant Shop Administrator does:

Under the direction of the Shop Administrator and Shop Manager you will be responsible for coordinating tasks that include but are not limited to:

  • Monitor mileage and hours to coordinate vehicles and equipment for scheduled maintenance
  • Parts ordering for vehicle, equipment and small engine repairs
  • Maintain and track parts inventory
  • Create, update and enter information for repair orders
  • Receive, verify, and enter vehicle and equipment information into computer systems
  • Compile and maintain paperwork both digitally and physically to include reports, vehicle information, insurance information and company documents for easy access and quick reference
  • Update information for various reports on a daily, weekly quarterly or annual basis
  • Follow processes to track and maintain fuel pricing, deliveries, and usage
Assist, when necessary, with the following:
  • Accounts payable processes to include the generation and submittal of purchase orders/invoices
  • Engrave, track and distribute new equipment
  • Support the process of new vehicle purchases and vehicle disposals.
  • Manage and track vehicle assignments & retrievals
You would be a great fit if you have:
  • Proven experience in safeguarding and securing various items of value, including vehicle keys, fuel cards, license plates, etc.
  • Experience working in an automotive or heavy equipment industry (preferred but not required)
  • Strong computer skills using various administrative software tools including Word, Excel, Outlook, and other MS Suite applications, Adobe, and web browsers
  • Strong interpersonal skills
  • Strong written and verbal communication skills
  • Time Management/Organization skills
  • Attention to detail/Accuracy
  • Team-oriented/Collaborative
