Our compassionate and skilled team offers 24/7 support to pets and their owners in critical situations. We are seeking an experienced Client Service Representative to join our front desk team in a part-time morning and weekend role.As a Client Service Representative, you will be the first point of contact for clients seeking urgent care for their pets. This role requires a professional and empathetic individual with previous experience in a veterinary or medical reception setting. Your primary responsibilities will include managing client interactions, handling administrative tasks, and ensuring a smooth and efficient front desk operation.Schedule:Part-time position with morning and weekend availability ONLY.Specific schedule details will be discussed during the interview process.Key ResponsibilitiesClient Interaction:Greet clients and their pets warmly and professionally as they arrive at the center.Answer phone calls promptly, addressing client inquiries and providing information about services, appointment scheduling, and emergency procedures.Assist clients with check-in and check-out processes, including handling payments and processing insurance claims.Administrative Duties:Maintain accurate and organized client records, ensuring all information is up-to-date and properly documented.Schedule and manage appointments, including emergency visits, follow-ups, and consultations with specialists.Coordinate with veterinary staff to relay important information and updates regarding patient care.Facility Management:Ensure the cleanliness and organization of the reception area, maintaining a welcoming environment for clients and their pets.Monitor and manage inventory for front desk supplies, ordering replacements as needed.Communication and Support:Provide clear and empathetic communication to clients regarding their pets' care, treatment options, and any necessary instructions.Support the veterinary team by providing relevant client information and assisting with any immediate needs or concerns.Skills, Knowledge & ExpertiseExperience:Previous experience as a Client Service Representative or in a similar reception role, preferably in a veterinary or medical setting, is required.Familiarity with veterinary terminology and procedures is highly desirable.Skills:Strong interpersonal and communication skills, with the ability to remain calm and professional in high-stress situations.Proficiency in office software and electronic medical record systems.Excellent organizational skills and attention to detail.Personal Attributes:Compassionate and empathetic towards clients and their pets.Ability to work independently and manage multiple tasks efficiently.Reliable and punctual, with a strong commitment to providing excellent client service.
