Our rapidly growing RIA is seeking a Client Service Administrator to join their growing team in Santa Barbara, CA. This role provides general office support and project management support with a variety of administrative and communications-related tasks. This individual will assist Wealth Advisors and our operations support teams in implementing new client accounts and the ongoing servicing of our existing HNW/UHNW client base. You will be the right hand to the leading Operations Manager, Wealth Advisors and play a key role in maintaining client relationships. Additionally, the Client Service Administrators maintain a positive work atmosphere by behaving and communicating in a manner consistent with our organizations mission, vision, and values.

Primary Responsibilities:

  • Perform general office operations, such as tracking expenses, maintaining office or kitchen supplies, coordinating with building management, etc.
  • Provide meeting support; set up the conference room, greet guests, and confirm or schedule meetings for advisors as needed
  • Support advisors by organizing and preparing reports and other client deliverables
  • Assist with the timely completion and submission of all client-related transaction requests, including paperwork, custodian alerts, quarterly performance reporting, and other client mailings

Ideal Candidate Profile:

  • Self-confidence, personal integrity, and an understanding of fiduciary responsibility
  • Team player with strong interpersonal skills
  • Ability to multi-task, manage time effectively, and take initiative
  • Attention to detail and strong follow-through
  • Strong verbal and written communication skills
  • Ability to work independently on assigned tasks as well as to accept direction on given tasks
  • Associate’s degree preferred, though specific experience can be substituted
  • Administrative & office experience with demonstrated ability to support clients and executives
  • Experience in the financial services industry preferred
  • Proficiency in Microsoft Office Suite required

Due to the pivotal role this individual will be playing in the organization; it is highly preferred that this person comes with prior experience exceeding client expectations by assisting with the formation of new accounts, transferring accounts, preparing detailed prospect/client reports, and performing operational functions at a highly adaptable level.
