HR Administrative Assistant

The Administrative Assistant/Receptionist serves as the first point of contact for visitors and provides essential administrative support. This role is responsible for managing the front desk, ensuring a welcoming and professional environment, and performing various administrative tasks to support daily operations.
Duties/Responsibilities:
- Greet visitors, verify their purpose of visit, and notify appropriate personnel of their arrival.
- Manage the visitor log, ensuring accurate recording of arrival and departure times and issuing visitor badges.
- Answer and direct phone calls, provide basic information such as facility hours and directions, and take messages as needed.
- Perform general office tasks, including scanning, sorting mail, and data entry using Microsoft Office and specialized database applications.
- Create and manage employee and visitor badges, including replacements for new hires and temporary staff.
- Update internal mailboxes as needed.
- Order lunches and coordinate refreshments for meetings when required.
- Maintain a safe and clean reception area by adhering to company procedures and standards.
- Support team efforts by accomplishing related tasks as needed.
- Protect the organization's confidentiality by managing sensitive information appropriately.
- Comply with company and departmental policies regarding health and safety, ISO & IATF standards, Lean principles, and housekeeping practices.
- Other duties as assigned.
- High School diploma or equivalent.
- Several years of related experience and/or training in an office environment or similar field.
- Proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint.
- Ability to sit, talk, hear, and use hands to operate a computer and telephone for extended periods.
- Occasionally required to stand, walk, and reach with hands and arms.
- Must occasionally lift and/or move up to 10 pounds.
