Duties include but are not limited to the following. Additions and modifications to these representative duties and responsibilities are under the purview of the Superintendent of Schools and the Garfield Middle School Principal.

Main Office Duties

* Maintain the school's yearlong calendar; assist with scheduling of meeting; supporting staff/outside partners reserve shared space. * Post events/meeting on the school's web-based calendar. * Assist the administrative team in the operational and logistical coordination of school events, including graduation, scholarship awards and others throughout the school year. * Create communications on behalf of the Principal and Assistant Principals. * Word process agendas, minutes and school plans, and general correspondence. * Maintain confidential records and reports including current class lists, student records, mail distribution, maintenance of school office files, bulletins, and school calendar via the direction of site Administrators. * Manage student enrollment and withdrawal process. * Compile administrative and student data and reports * Support the maintenance of accurate student attendance records in PowerSchool. * Facilitate requests for translation services, facilities, maintenance and furniture. * Manage the process for field trip requests * Triage all incoming communications (phone, email, and visitors) to insure a helpful and timely response, directing calls appropriately and serving as receptionist as needed. * Manage incoming and outgoing mail, ensuring it is distributed and processed confidentially and in a timely manner. * Maintain accurate information in Departmental databases, spreadsheets, etc. * Manage supplies and materials needs, maintaining and organizing inventory, receiving and distributing, and ordering and fulfilling all aspects of procurement as necessary. * Track and record petty cash and student activity accounts consistent with RPS Business Office policies, procedures and timelines. * Maintain and verify receipts for purchases. * Track budgets for building controlled accounts. * Coordinate leases and service contracts for school office equipment. * Maintain files, ensuring they are up to date at all times and reviewing for accuracy and completeness. * Provide general clerical support, as needed: reporting, copying, scanning, mailing, etc. * Complete mail merges and mailings upon request. * Schedule appointments, including all related arrangements such as reserving meeting rooms. * Assure the protection of confidentiality of personally identifiable information maintained by Revere Public Schools, DESE, Court Systems, and other agencies. Support the Principal and Designees in fulfilling any and all other departmental responsibilities as requested, including supporting other administrative teams in the district as needed.

Human Resources Related Duties

* Maintain confidential employee attendance system; record, track and report daily employee absences; manage daily substitute planning process for teacher absences. * Assist employees, school administration and district staff in ensuring proper classification of leave time ( sick, vacation, personal, FMLA, etc. consistent with provisions of various CBA's. * Work closely with district staff and facilitate collection and processing of absence-related documentation including medical notes, jury duty, personal leave requests, FMLA and Fitness for Duty paperwork, and forward originals to HR for official personnel file. * Track employee incident and accident reports and ensure that paperwork has been completed properly and submitted to district staff in a timely manner. * Manage the school's operational onboarding of new employees. * Maintain an accurate school staff directory.

SCHEDULE & COLLECTIVE BARGAINING UNIT This is a full time, 12-month position currently scheduled for 1970 hours per year. Schedule, salary and benefits will be determined by the AFSCME Collective Bargaining Agreement and is currently based on 41 weeks at 40 hours/week and 11 weeks (summer & school vacations) at 30 hours/week. Daily schedule is 7:30 a.m. to 4:00 p.m. (including ½ hour unpaid lunch) when school is in session and 7:30 a.m. - 2:00 p.m. during summer and vacation weeks.

QUALIFICATIONS

* High School Diploma, GED or equivalent. * Effective written and verbal communication skills with fluency in writing, speaking and reading English * General knowledge of office operations and experience in clerical procedures. * Data processing skills including entry, tracking and reporting via spreadsheets and other databases. * Proficiency in a variety of current technologies and office software including Microsoft Office, particularly Word, Excel and Outlook, Google Suites, etc. * Ability to work with numbers in support of purchasing and budget tracking functions. * Ability to multi-task without sacrificing accuracy, especially in word processing and entering high volumes of data. * Highly organized, detail oriented, independent, consistent initiative and follow through. * Demonstrated discretion and confidentiality. * Outstanding interpersonal skills, cultural sensitivity, and respect for others with ability to establish rapport with and relate to students, families and co-workers with respect, compassion, tact and understanding. * Superior Customer Service instincts, fielding phone, email and in person inquiries, maintaining professionalism and confidentiality in all circumstances and resolving questions and concerns. * Willingness to learn new and different administrative tasks, software and approaches to improve efficiency and effectiveness.

Preferred candidates will

* Have fluency in reading, writing and speaking one of the following: Spanish, Portuguese or Arabic. * Hold an Associate's Degree or higher. * Be Proficient in PowerSchool. * Have a talent for developing and maintaining organized work and storage spaces. * Enjoy working with students and colleagues.
