Job Summary:

We are seeking a highly motivated and detail-oriented Director of Operations to join our dynamic team. The successful candidate will support the operations of our investment management activities, ensuring the efficiency and accuracy of our processes. This role is critical to maintaining the seamless execution of transactions, reporting, and compliance.

The Director of Operations duties include:

Transaction Processing:

  • Manage or oversee valuations, cash management, performance reporting, lines of credit, and trading.
  • Oversee the accurate and timely processing of buy and sell transactions across equities, fixed income, and alternative investment products.
  • Ensure proper settlement of trades, including confirmation, allocation, and reconciliation with custodians and brokers.
  • Resolve any discrepancies or issues that arise during the trade settlement process.

Portfolio Administration:

  • Assist in the daily management and administration of client investment portfolios, including monitoring cash flows, verifying position reconciliation with custodians performed by service providers, and ensuring that data feeds from accounting, custodian, and trading systems are complete and accurate.
  • Serves as primary contact for prime brokers and custodians.
  • Maintain up-to-date records of portfolio holdings, transactions, and performance metrics.
  • Ensure accurate and timely maintenance of valuations and activity for illiquid investments
  • Coordinate with portfolio managers to ensure accurate and efficient implementation of investment decisions.

Data Management:

  • Maintain and update investment and due diligence questionnaire databases, ensuring data integrity and accuracy across all systems.
  • Generate regular and ad-hoc reports for internal and external stakeholders, including performance reports, compliance reports, and client statements.
  • Conduct data analysis to support investment decision-making and operational efficiency.

Compliance and Risk Management:

  • Ensure adherence to all regulatory requirements and internal policies, including compliance with SEC, FINRA, and other relevant regulations.
  • Monitor and report on operational risks, implementing mitigation strategies to minimize risk exposure.
  • Conduct periodic audits and reviews of operational processes to identify areas for improvement.

Client Reporting:

  • Prepare and deliver comprehensive and customized reports to clients, providing insights into portfolio performance, market conditions, and investment strategies.
  • Respond to client inquiries and requests for information in a timely and professional manner.
  • Collaborate with the client services team to ensure high levels of client satisfaction and retention.

Operational Efficiency:

  • Identify and implement process improvements to enhance operational efficiency and reduce errors.
  • Develop and maintain standard operating procedures (SOPs) for all key operational processes.
  • Utilize technology and automation tools to streamline workflows and improve accuracy.

Collaboration:

  • Work closely with portfolio managers, analysts, and other team members to support the overall investment process.
  • Liaise with external partners such as custodians, brokers, auditors, and vendors to ensure smooth operational workflows.
  • Participate in cross-functional projects and initiatives to drive operational excellence and support business growth.

Training and Development:

  • Stay current with industry trends, regulatory changes, and best practices in investment operations.
  • Participate in professional development opportunities, including training programs, conferences, and industry events.
  • Mentor and train junior staff members, sharing knowledge and expertise to foster a collaborative and high-performing team environment.

Requirements:

  • Strong knowledge of asset management industry either with mutual funds, private funds, and/or institutional clients
  • Experience developing, monitoring, and executing project plans
  • Excellent interpersonal skills
  • Excellent organization and time-management skills
