We are actively seeking a highly motivated, innovative and experienced leader to join our team as the Human Resources Assistant. Compensation will be commensurate with experience.

Position Summary:

Under the direction of the VP of Human Resources and Assistant Director of Human Resources, this position will provide administrative support to the Human Resources Department as well as assist with coordinating and tracking employee trainings via Learning Management System.

Responsibilities:

  • Maintain confidentiality in all aspects of the Human Resources department, this includes employee information, confidential invoices or other sensitive department and organization information.
  • Provide administrative support to VP of Human resources and Assistant Director of Human Resources.
  • Conduct all administrative functions in the HR department to include, but not limited to formatting reports, copying, scanning, filing, mailings and faxing.
  • Maintain all employee records, including all personnel files, electronic records in various HR systems, such as HRIS, Learning Management System (LMS) and onboarding documents.
  • Enter and update employee information in ADP as directed.
  • Coordinate New Employee Orientation including creating agenda, identifying dates, scheduling presenters, inviting required new employees, documenting attendance in learning management system.
  • Update and manage HR pages on Amida Care HUB, event calendar and images.
  • Schedule, track and update required staff trainings in electronic learning management system (Relias). Produce monthly training reports or as requested. Add new hires, update employee information and deactivate termed employees as needed. Reset trainings for staff as needed.
  • Maintain and update all HR forms and documents as directed.
  • Reconcile all monthly benefit invoices and submit to VP of HR for processing.
  • Reconcile VP of HR corporate cards expenses and complete expense report for approval and processing.
  • Retrieve and sort all HR department mail and distribute to appropriate HR staff.
  • Set up and coordinate meetings and conferences VP of HR, and other members of the Human Resources Department as requested.
  • Attend all committee meetings chaired by the VP of HR to provide administrative support such as notes and meeting recaps.

EDUCATION REQUIRED

  • High School Diploma or equivalency required.
  • College degree preferred or an equivalent combination of education and related work experience required.

EXPERIENCES AND/OR SKILLS REQUIRED

  • Five (5) years' of demonstrated administrative support experience.
  • Ability to multi-task and prioritize with minimal supervision.
  • Demonstrated strong verbal and written communication skills.
  • Demonstrated strong customer service principles and practices.
  • Demonstrated strong organizational, analytical and interpersonal skills with detail-oriented focus required.
  • Demonstrated strong computer proficiency, including but not limited to, Microsoft Office (Word, Excel, Access, PowerPoint).
  • Demonstrate understanding and sensitivity to multi-cultural values, beliefs and attitudes with colleagues and all contacts.
  • Demonstrate appropriate behaviors in accordance with the organization's vision, mission and values.
