The HR Assistant supports the Human Resources department in carrying out various HR functions and ensuring the smooth operation of HR processes. This role is crucial in maintaining effective HR systems, fostering positive employee relations, and assisting in the overall administration of HR policies and procedures.

Key Responsibilities:

Administrative Support: Provide administrative support to the HR department, including managing correspondence, maintaining employee records, and preparing HR documents such as employment contracts, offer letters, and policy manuals

Recruitment Support: Assist in the recruitment process by posting job openings, screening resumes, coordinating interviews, and conducting background checks. Support the onboarding process by preparing new hire documentation and facilitating orientation sessions.

Employee Relations: Serve as a point of contact for employee inquiries related to HR policies, benefits, and procedures. Help address employee concerns and escalate issues to the HR Manager as needed.

Records Management: Maintain accurate and up-to-date employee records in HR systems, including personnel files, attendance records, and benefits information. Ensure compliance with data protection regulations.

HR Systems and Reporting: Assist in the management and updating of HR systems, such as HRIS (Human Resources Information Systems), to ensure accurate data entry and reporting. Generate HR reports as needed to support management decisions.

Policy Compliance: Support the implementation and communication of HR policies and procedures. Ensure that all HR activities comply with company policies and relevant labor laws.

Benefits Administration: Assist in the administration of employee benefits programs, including enrollment, changes, and terminations. Provide support to employees with benefits-related questions and issues.

Performance Management Support: Assist in the coordination of performance reviews, including scheduling, distributing forms, and collecting feedback. Help track employee performance data and follow up on action items.

Training and Development: Support the organization of employee training sessions and development programs. Maintain training records and assist with scheduling and logistics.

Employee Engagement: Participate in the planning and execution of employee engagement activities and events. Help promote a positive work environment by assisting in initiatives that enhance employee morale and well-being.

Compliance and Record Keeping: Ensure that HR records are maintained in accordance with company policies and legal requirements. Assist in the preparation of documents for audits and compliance reviews.

Qualifications:

Bachelors degree in Human Resources, Business Administration, or a related field; or equivalent experience.

Previous experience in an HR support role or administrative position is preferred.

Strong organizational and time-management skills, with the ability to handle multiple tasks and prioritize effectively.

Excellent communication and interpersonal skills, with the ability to interact with employees at all levels.

Proficiency in MS Office (Word, Excel, PowerPoint) and experience with HR software (e.g., HRIS) is an advantage.

High level of integrity and ability to handle confidential information with discretion.
