The Accounting Associate will be responsible for assisting with financial, administrative, and clerical support of PIQE’s finances. In collaboration with the Payroll and Accounts Receivable Specialist, this role will help with vendor payments via ACH, credit card and checks. Work with vendors to reconcile and audit outstanding balances, prepare accounts payable reconciliation and other reports, as requested. Coordination with the office managers of the different locations in the organization to process purchase orders and payments to vendors, assist with accounts receivable functions, payroll, balance sheet accounts reconciliations and assist with other accounting activities as needed and directed by management.
Essential Duties & Responsibilities: (Other duties may be assigned at the discretion of the Supervisor.)
· Set up vendors profiles, including ACH setting and collecting necessary information to process payments.
· Codify and post accounts payable invoices, including breakdown of costs by location and application of expenses to specific projects/jobs.
· Prepare vendors weekly accounts payable reports to submit for approval and processing of payments.
· Prepare biweekly independent contractors’ payments
· Process vendor payments for all different locations of the organization via checks, ACH and credit card.
· Review and post the bank activity that is automatically updated in QuickBooks for all different bank accounts and Ramp credit cards.
· Prepare accounts payable reconciliation and any other reports needed
· Assist Accounting Manager with projects and reports upon request.
· Continue to improve and streamline accounting processes.
Requirements
· Minimum of two years’ experience in accounts payable.
· Excellent attention to detail.
· Strong oral and written communication skills and proficient in use of standard information technologies including Microsoft applications.
· Ability to meet deadlines and punctuality.
· Maintain confidentiality and work ethic.
· Proven ability to work independently and in collaboration with the accounting team.
· Available to work overt time when needed.
· Bilingual Spanish/English extremely desirable.
