Job Summary: We are seeking a detail-oriented and organized Assistant Office Manager and Accounting professional to support our operations and financial processes. This role also requires supporting our CEO in an Executive Administrative capacity as needed. This combines professional administrative responsibilities with basic accounting tasks, ensuring smooth office operations and accurate financial record-keeping.

Hours: Monday - Friday (4-5 hours per day)

Key Responsibilities:

Administrative Support:
  • Assist the Office Manager in daily operations, including scheduling, correspondence, and office organization.
  • Support CEO with administrative support by coordinating meetings, appointments, travel as needed.
  • Manage office supplies and inventory, placing orders as needed.
  • Facilitate communication between departments and with external vendors.
  • Coordinate meetings, appointments, and travel arrangements for President and staff
Accounting Duties:
  • Assist with bookkeeping tasks, including data entry, invoice processing, and accounts payable/receivable.
  • Maintain accurate financial records and prepare reports for management review.
  • Assist with budget tracking and financial forecasting.
  • Support month-end and year-end closing processes.
Customer Service:
  • First person response to any visitors or clients.
  • Respond to inquiries from clients and vendors in a timely and professional manner.
  • Maintain a positive and welcoming office environment.

Position Requirements

Qualifications:
  • Proven experience in office administration and basic accounting (1-3 years).
  • Proficiency in accounting software (e.g., QuickBooks, Excel) and office management tools.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent communication and interpersonal abilities.
  • Ability to work independently and as part of a team.
