Description
Selected individual is member of Transit Management's Finance Staff, and reports to the Director of Finance. This position will be the liaison between our Maintenance Parts Department, Finance Department at TMOC and Procurement Department of the City of Charlotte on purpose to comply with City of Charlotte procurement rules and procedures.
DUTIES:
- Assist our maintenance department in purchasing parts and services, complying with established policies and procedures.
- Track the balance of all open purchase orders to prevent overspending and late processing.
- Ensure timely creation and submission of necessary documents for approval in accounting/procurement system to provide ability to continue purchasing process.
- Support established relationship with vendors. Acquire all purchasing source documents timely.
- Track departmental contracts terms and conditions. Submit contract change order timely.
- Help with inventory physical count and audit.
- Control pricing, make sure billing pricing matched the contract.
- Performs other related duties as assigned by the Director of Finance.
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:
- Good understanding of procurement and purchasing practices and principles. Knowledge and experience in purchasing, clear understanding basic terms and rules in procurement. Knowledge of governmental procurement is a plus.
- Good understanding of basic finance and accounting principles to control budget and costs.
- Excellent analytical skills.
- Ability to learn new software, including inventory management programs, accounting and procurement system, Microsoft Office, and others. Munis experience is helpful.
- Evidence of the practice of a high-level confidentiality.
- Ability to function independently in a multi-task environment, as well as part of a team.
- Ability to effectively respond to related questions from employees and outside entities.
- Excellent interpersonal and communication skills, both written and oral are an essential part of job duties.
- Ability to maintain professionalism when dealing with external customers and internal employees.
- Ability to prepare clear and concise oral and written reports.
- Ability to maintain detail files for documentation.
- Ability to work with minimum supervision and make sound decisions.
- Strong organizational and prioritization skills required.
- Must be able to communicate in English.
- 3+ years' experience in procurement and/or purchasing at a large company.
- B.A. or B.S. in business, purchasing or related field. Advanced degree preferred.
