is a multi-channel direct marketing company specializing in direct mail & digital marketing. To keep up with our recent growth, we are looking for an experienced Accounting Specialist, Accounts Receivable to support our Corporate Accounting team.

Position Summary

The

Accounting Specialist, Accounts Receivable (ASAR)

assists with preparing deliverables critical to the Direct Marketing Solutions (DMS) accounting close cycle, financial reporting, and compliance with GAAP. The ASAR supports invoicing and costing and/or manages receivables and cash application.

Essential Functions

Communicates daily with the Client Services team about job tracking and invoicing. Scans documents and uploads them onto the DMS network. Tracks postage transactions and prepares customer postage reconciliations. Collaborates daily with Account Management and Sales teams to prepare and verify client invoices. Generates invoices according to company standards, ensuring proper allocation of pricing and revenues. Identifies and resolves outstanding billing discrepancies, working closely with leadership for resolution. Sends finalized invoices to Account Managers. Reviews billing reports to determine optimal methods for timely client billing. Prepares and analyzes reports for accounting close cycles and monthly financial reporting. Manages Accounts Receivable, monitoring accounts and aiding in collection efforts. Establishes and maintains new customer accounts as needed. Compiles and analyzes aging and other billing reports for internal and client use. Reconciles Accounts Receivable ledger against the AR Aging, investigating variances. Ensures accuracy of postage usage entries and reconciles as necessary. Reviews AR processes, identifying areas for improvement and makes recommendations as appropriate. Reconciles bank accounts and balances data. Enters and posts general journals for bank transfers and ACH transactions. Reviews and uploads payroll files into accounting systems. Provides cross-training and assistance in various accounting functions as required.

Additional Responsibilities

Completes additional assignments and special projects from the Senior Accountant and Vice President, Finance/Controller as needed. Demonstrates behavior consistent with DMS Values and the Code of Conduct. Learns and adheres to all information technology and data security policies, standards, guidelines, and procedures. Learns and adheres to DMS rules and established policies for workplace health and safety. Adheres to all other DMS policies and procedures. Completes all required compliance training on time and in good faith.

Qualifications

Associate or bachelor's degree in accounting or finance or equivalent experience Minimum of 2 years of relevant accounting experience General accounting ERP software and Excel experience Proficiency with typing and 10-key Manufacturing experience preferred
