The Accounts Payable Specialist II processes invoices which may include more complex accounts and ensures payments are issued in a timely manner. The Specialist may monitor credit card accounts to ensure payments are dispersed timely and make journal entries to recognize payments. The Specialist may conduct investigations into invoice problems, as well as reconcile petty cash or process expense reports and travel advances. This role will also work on special projects as assigned.

This position will be located at Central Office- Indianapolis, IN.

Responsibilities

Invoice Processing

  • Sort and file received invoices.
  • Process invoices for payment, validate and review discrepancies.
  • Perform weekly check runs.
  • Perform quality checks and inspections as needed.
  • Prioritize emails and communicate as needed with operations.
  • Maintain complex vendor accounts beyond standard invoice processing.
Invoice Reconciliation & Problem Resolution
  • Communicate with vendors and site managers to resolve outstanding invoices.
  • Perform complex reconciliations and problem resolution.
  • Generate and maintain account reconciliations using Great Plains and Excel.
  • Conduct investigations for payment validation.
  • May have related responsibilities such as vendor management, W9 verification, and account analysis.
  • May act as a resource for training and mentoring new team members.
Qualifications

Education:
  • High School or equivalent degree-required.
  • Bachelor's degree in Finance, Accounting or related field-preferred.
Experience:
  • Minimum 4 years business experience or degree with an internship in a related field of study-required.
  • Experience working with Microsoft Excel-required.
Competencies:
  • Knowledge of Microsoft Office (Excel) required; knowledge of Great Plains-preferred.
  • Ability to set priorities and manage time while working on multiple projects.
  • Ability to work effectively with other team members.
  • Ability to react well to business change.
  • Ability to adapt to new software.
  • Analytical thinking skills for invoice processing, account reconciliation and problem resolution.
  • Ability to dig deeper beyond the easily recognizable issues to the underlying factors.
  • Interpersonal and conflict management skills to build and maintain relationships.
  • Strong written and verbal communication.
