Description

Provides a variety of administrative services for patients, internal and external visitors and supports medical staff in the daily operations of the Counseling and Psychological Services. (CAPS)
  1. Serves as the department's initial contact for students, faculty, staff and visitors with a vast knowledge of applications of all aspects of the CAPS processes and policies.
  2. Ability to handle multiple incoming callers/patients, tasks and responsibilities. Provides excellent customer service by phone, face-to-face and e-mail interactions and ensures a positive patient experience.
  3. Communicates with customers in a courteous, professional, cooperative and mature manner.
  4. Answers questions and resolves complex customer service concerns. Adheres to department guidelines on referring patients/visitors appropriately and relaying pertinent information.
  5. Schedules patient appointments using departmental guidelines, completes required documentation and relays appropriate information to patients.
  6. Retrieves and files medical records and ensures patient's documents are scanned into the electronic systems.
  7. Knowledge of medical terminology and ability to problem solve and assist patients.
  8. Accurately verifies and enters/updates patient demographics, service eligibility and payment information.
  9. Assists patients with check-in process; checks out patients using electronic medical records system including accurately inputting data, posting charges and payments/co-payments, Inter-Departmental/Bursar transaction, and searching/retrieving data.
  10. Faxes, copies and distributes medical record information for medical providers and patients.
  11. Monitors Patient Services mailbox for voice mails and e-mail inquiries.
  12. Accurately accepts mail and package delivery from internal and external campus sources and provides outgoing mail and packages to mail/delivery providers.
  13. Acts as a representative of the Student Health Center at campus events.
  14. Verifies insurance eligibility and payment requirements for each visit.
  15. Understands and complies with all applicable CAPS and University of Houston policies as well as applicable state and federal laws.
  16. Reports any irregulars or violations to manager.
  17. Works as part of a team with all CAPS staff including management, nursing support and medical providers.
  18. Performs other job duties as assigned.

The University of Houston's Counseling and Psychological Services (CAPS) is a vital department within the Health and Well-Being (HWB) portfolio. CAPS is accredited by the International Accreditation of Counseling Services and also offers an APA accredited internship in Health Service Psychology. We have a multidisciplinary team consisting of licensed psychologists, doctoral and masters level mental health professionals, and advanced graduate trainees in counseling, clinical, and school psychology. Within our Stepped Care model, our services include triage, essential skills workshops, single session therapy, group counseling, short-term couples and individual counseling. We also offer a large number of resources and outreach to include "Let's Talk", QPR, and on demand trainings on a variety of mental health topics.

Qualifications

High school and 1 year experience

Requires a basic knowledge of grammar, spelling, punctuation and simple mathematical functions like percentages, ratios, etc. as might normally be acquired through attainment of a high school diploma or GED.Requires a minimum of one (1) year of directly job-related experience.
