Key Responsibilities:
- Greet and welcome visitors in a warm and professional manner, directing them to the appropriate personnel or department.
- Answer, screen, and forward incoming phone calls while providing basic information when needed.
- Manage the reception area, ensuring it is tidy, presentable, and equipped with all necessary materials (e.g., brochures, forms).
- Handle incoming and outgoing mail and packages, distributing them promptly to the correct recipients.
- Schedule and coordinate meetings, appointments, and conference calls, managing the companys calendar efficiently.
- Maintain office security by following safety procedures and controlling access via the reception desk.
- Assist with various administrative tasks such as data entry, filing, and managing office supplies.
- Provide general support to visitors, including answering inquiries and assisting with any requests or concerns.
- Manage the sign-in process for guests and ensure visitor logs are accurately maintained.
- Coordinate with internal teams to ensure that reception operations run smoothly and effectively.
Qualifications:
- High school diploma or equivalent; additional certification in office management or related field is a plus.
- Proven work experience as a Receptionist, Front Office Representative, or similar role.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment (e.g., fax machines, printers).
- Strong organizational and multitasking abilities with a keen attention to detail.
- Excellent verbal and written communication skills.
