We are looking for a motivated and organized person to join our team and help us maintain a productive and efficient office environment.Job Summary: The position will be responsible for overseeing the daily operations of the office, ensuring smooth and efficient administrative functions. This role requires a proactive individual with excellent organizational and communication skills who can manage multiple tasks and priorities.Key Responsibilities:Accounting Coordination: Prepare and issue invoices to clients accurately and timely. Track and manage accounts receivable, ensuring timely collection of payments. Resolve any discrepancies or issues related to invoices and payments. Maintain accurate records of all invoicing transactions. Handle incoming and outgoing communications, including phone calls, emails, and mail. Assist in contract review process, certified payroll, AIA forms and other documents. including the preparation of reports, and presentations. Provide general administrative support to the team as needed.Operational Coordination: Assist in the management of daily operational activities to ensure smooth business operations. Coordinate with various departments to streamline processes and improve workflow. Develop and implement operational policies and procedures. Ensure compliance with company policies and industry regulations.Administrative Support: Provide administrative support to the management team. Schedule and coordinate meetings, Prepare and distribute internal communications and reports. Maintain organized and accurate records and files.Qualifications: Proven experience as an Office Manager, Administrative Assistant, or similar role. Excellent organizational and time management skills. Strong written and verbal communication skills. Proficiency in MS Office (Word, Excel, Outlook), Adobe and office management software. Ability to multitask and prioritize tasks effectively. Attention to detail and problem-solving skills.
