JOB SUMMARY:

In support of the Clinical Staff Development Manager, the Program Assistant II provides detail-oriented and customer centric work of the highest quality. The job duties include but are not limited to supporting outreach education, compiling data, completing reports for accrediting agencies.

REPORTING RELATIONSHIPS:

Department: Global Medical Response Learning

Location: Roseville, California

Reports to: Global Medical Response, Clinical Staff Development Manger

Interrelationships: Clinical Practice leadership, LMS administrators, Clinical Development Specialist, Primary and Professional Education staff.

Direct Reports: None

FLSA Status: Non-Exempt

ESSENTIAL DUTIES:

  1. Responsibilities
    • Works closely with GMR Learning staff to support educational activities including reporting requirements for accrediting agencies. Requires a professional, pro-active, detail-oriented approach.
    • Meet and interact with internal and external customers in support of the Learning department.
    • Collaborate with manager in compiling operational data into measurable reports as required by oversight bodies.
    • Manage training documentation and certificate distribution.
    • Verify training compliance to meet accreditation requirements.
    • Prepares documents, including office correspondence and presentations as needed.
    • Manage calendars. flyers, social media, and web materials to ensure information is accurate and current.
    • Develop materials for social media distribution.
    • Provide administrative support to the GMR Learning department.
    • Develops a variety of documents including memos, letters, reports, and other materials.
    • Handles incoming calls, and emails, including routing to the appropriate individual.
    • Prints/copies/distributes documents as needed.
    • Compiles and distributes reports as directed or as needed for tracking or reporting purposes.
    • Files correspondence electronically as appropriate: or hard copy if needed.
    • Maintains accurate records and files on courses, employees, and programs.
    • Sorts incoming mail and manages shared electronic inbox.
    • Attends meetings as requested. Composes a draft of minutes as requested.
    • Maintains database information on CAPCE and ANCC content.
    • Assists with equipment organization and maintenance.
    • Participates in the maintenance of the workspace.
    • Provides support to Manager for accreditation activities.
    • Other duties as assigned.
  1. Quality Management/Continuous Quality Improvement

Contributes to the development of quality education programs designed to promote company growth and community awareness of GMR that is in line with the companys objectives.

    • Strong problem-solving skills in support of team members
    • Support an effective communication system
    • Completes assigned projects in a timely manner.

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

Education:

High School or GED diploma required

Healthcare experience preferred

Associates degree or equivalent knowledge and experience preferred

Skills:

  • Excellent verbal and written communication skills
  • Intermediate computer skills including proficiency in all MS Office 365 applications.
  • Excellent interpersonal, and customer service skills
  • Ability to work within a strong team environment.

Experience:

  • Experience with front office functions preferred.
  • Experience with data entry, collation, and analysis
