Position Overview:

The Program Assistant II plays a crucial role in assisting the Clinical Staff Development Manager by delivering meticulous and customer-focused services of the highest standard. The responsibilities encompass a range of tasks including outreach education support, data compilation, and report generation for accreditation purposes.

Reporting Structure:

Department: Global Medical Response Learning

Reports to: Clinical Staff Development Manager

Key Collaborations: Clinical Practice leadership, LMS administrators, Clinical Development Specialists, and Education staff.

Direct Reports: None

FLSA Status: Non-Exempt

Core Responsibilities:

  1. Engage with GMR Learning personnel to facilitate educational initiatives, ensuring compliance with reporting standards for accrediting bodies. A proactive and detail-oriented approach is essential.
  2. Interact with both internal and external stakeholders to support the Learning department's objectives.
  3. Assist the manager in transforming operational data into actionable reports as required by oversight entities.
  4. Oversee training documentation and the distribution of certificates.
  5. Ensure training compliance aligns with accreditation standards.
  6. Prepare various documents, including correspondence and presentations as necessary.
  7. Manage calendars, promotional materials, and online content to guarantee accuracy and relevance.
  8. Create materials for digital distribution.
  9. Provide administrative assistance to the GMR Learning department.
  10. Draft a variety of documents such as memos, letters, and reports.
  11. Handle incoming communications, directing them to the appropriate personnel.
  12. Print, copy, and distribute documents as required.
  13. Compile and disseminate reports as directed for tracking or reporting needs.
  14. Maintain organized electronic and hard copy files as necessary.
  15. Sort incoming correspondence and manage shared electronic inboxes.
  16. Attend meetings as needed and draft minutes upon request.
  17. Maintain database information related to CAPCE and ANCC content.
  18. Assist in the organization and upkeep of equipment.
  19. Contribute to the maintenance of the workspace.
  20. Support the Manager in accreditation-related activities.
  21. Perform additional duties as assigned.

Contribute to the design of quality educational programs that enhance company growth and elevate community awareness of GMR, aligning with corporate objectives.

System and Process Management:

Required Knowledge, Skills, and Abilities:

Education:

High School diploma or GED is mandatory. Healthcare experience is preferred, and an Associate's degree or equivalent experience is advantageous.

Skills:

  • Exceptional verbal and written communication capabilities.
  • Intermediate proficiency in MS Office 365 applications.
  • Strong interpersonal and customer service skills.
  • Ability to thrive in a collaborative team environment.

Experience:

  • Preferred experience in front office operations.
  • Experience in data entry, collation, and analysis is beneficial.
