We are seeking to fill a Marketing Proposal Coordinator position in the Orange County, California area.

This is a full-time position and can be in-person or hybrid in the city of Fullerton, CA. The ideal candidate will have a strong background in proposals and technical writing.

Essential Functions & Responsibilities:

  • Act as a responsible support Business Development Manager on strategic development activities; resource for technical staff on marketing leads/ information
  • Monitor opportunities posted on websites; regularly update the leads workspace on Monday.com, new/revised opportunities issued by public agencies; research the scopes of these opportunities, e.g. value of work; D/M/SBE percentages
  • Be attuned and educated on the laws, regulations, and environmental compliance landscape; research any updates for awards for past submittals using public notices
  • Manage solicitations of proposals/qualifications that have varying requirements and strategies; oversee the proposal development activities from pre-proposal planning to production or upload on web portals
  • Analyze RFP/Q (Request for Proposal) requirements; respond by outlining the sections that Project Coordinator will be responsible to complete and send the sections for approach and scope; consolidate these sections to complete submittals that are compliant with requirements; lead the proposal team through effective communication, coordination, oversight, and delegation
  • Communicate effectively and timely with clients (e.g. primes) regarding project status, action items, proposal delivery methods, deadlines, etc.
  • Fill in the pre-qualification forms required by public agencies and contractors for subcontractors, e.g., Metro pre-qualification, DBE (Disadvantaged Business Enterprise) confirmation forms from Caltrans
  • Write and edit proposal content ensuring accuracy and consistency
  • Manage proposal timelines and deadlines
  • Coordinate with Communications Assistant the sections for the quarterly newsletters, update news sections, projects of our website, annual the statement of capabilities and brochures; update our social media outlet feeds
  • Assist in the creation of marketing collateral to support proposals

Job Qualifications

  • 3+ years of proven experience in proposal coordination or related field
  • Prior experience in public sector construction, environmental or engineering industries
  • Strong technical writing skills with attention to detail
  • Familiarity with marketing automation tools
  • Ability to analyze data and adjust strategies accordingly
  • Understanding of content marketing principles
  • Experience with Adobe Creative Suite is a plus
