**Manager, Conference and Events Services**
The Academy of Nutrition and Dietetics, the largest organization of food and nutrition professionals, is currently looking for a Manager, Conference and Event Services. This **full-time, work-from-home flexible position** involves coordinating numerous meetings throughout the year, which can be in-person, virtual, or hybrid. This position will report to and work closely with the Director of Conference and Event Services and will be responsible for full-cycle meeting planning and event management.
**Responsibilities**:
- Coordinate all aspects of meetings and events, including facilities accommodations, audio-visual equipment, food and beverage, signage, special needs requirements, and transportation.
- Review and negotiate contracts with various vendors, such as hotels and convention centers, to ensure the best services for our events.
- Develop and monitor budgets, ensuring revenue and expenses stay within established boundaries. Reconcile event bills for accurate financial tracking.
- Manage meeting travel as needed, such as flights and/or other arrangements for staff, speakers, etc.
- Manage incoming communication in the Academy's general meeting inbox, promptly responding to inquiries, requests, and concerns with a strong focus on exceptional customer service.
- Serve as a point of contact for attendees, providing timely and informative responses to their questions, registration inquiries, and troubleshooting issues to ensure a seamless and positive experience.
- Collaborate with various departments and stakeholders to gather pertinent event details, schedule updates, and disseminate crucial information to attendees, and staff, maintaining clear and consistent communication throughout the planning process.
- Utilize relevant tools and technologies for in-person, digital, and hybrid events to ensure accessibility for all audiences.
- Maintain comprehensive records of meetings and produce post-event reports as requested.
**Requirements**:
- Bachelor's degree in Event Management, Hospitality, Business, or a related field.
- **CMP (Certified Meeting Professional) certification is required.**:
- Minimum of 5 years of experience in conference and event management, with demonstrated success in designing inclusive and accessible experiences, preferably within an association or nonprofit organization.
- Proven track record of successfully planning and executing large-scale conferences and events.
- Strong project management skills, with the ability to prioritize tasks, meet deadlines, and manage multiple projects simultaneously.
- Excellent communication and interpersonal skills, with the ability to collaborate effectively with internal and external stakeholders.
- Proficiency in event management software and registration platforms such as Cvent.
- Budget management experience, including cost control and financial reporting.
- Flexibility to travel and work occasional evenings and weekends as required.
