**Job Description**:
Reporting to the Director of Database Administration, the Data Specialist is responsible for maintaining and enhancing the college's database of alumni, students, parents, friends, and other constituents. This role ensures the accuracy and consistency of our data, which is critical for effective communications and data analysis. The Data Specialist utilizes advanced data management techniques and modern database technologies to support and optimize the college's fundraising efforts and historical archives. Key responsibilities include ensuring data integrity, performing advanced analytics, querying, importing, and exporting data, and contributing to the continuous improvement of database systems and processes.

**Specific Responsibilities**

**Data Management and Maintenance**
- Process and maintain data within the Blackbaud Raiser's Edge NXT database and other integrated software packages, utilizing manual data entry as well as query, import, and export procedures to ensure a cohesive data experience.
- Perform routine data audits to maintain CRM database integrity and accuracy.
- Update and verify employment data for all constituencies in the database, including alumni, donors, prospects and college employees.
- Execute post-import processes for new graduates, parents, students, National Change of Address (NCOA), and other external data sources.
- Regularly update database information from various sources including class columns, newspapers, media, screenings, NCOA, and communications outreach.
- Process event registrants using a multi-software system approach.
- Collaborate with Donor Relations for routine data processes related to new donors and new founders.
- Complete database updates for assigned prospect relationships in coordination with the Director of Prospect Research.
- Log, scan, and review all gifts and gift documentation received via mail, updating biographical information in the Raiser's Edge NXT database.
- Review contact reports from all Institutional Advancement colleagues to complete updates in the Raiser's Edge NXT database.
- Assist with imaging historical and current documents to maintain and preserve archival information, optimizing database utilization for fundraising purposes.

**Data Research and Communication**
- Research constituent information using a variety of resources including Raiser's Edge NXT, LexisNexis, LiveAlumni, Ellucian Colleague student system CRM, directory services, newspapers, and online services.
- Utilize online resources to research and verify biographical information.
- Track and research returned mail, ensuring accurate address records.
- Communicate effectively with staff and constituents to clarify and update information as needed.

**Policy and Procedure Maintenance**
- Ensure employee and volunteer confidentiality agreements are upheld.
- Maintain and adhere to standard operating procedures for data process functions.

**Professional Development and Training**
- Participate in professional development to seek out best practices ensuring data integrity and improving the effectiveness of Advancement Services as technology changes and evolves.
- Supervise and train student workers, monitoring and directing their activities.
- Engage in cross-training with the Data Manager on data projects and priority shifts.

**Other Responsibilities**
- Perform other duties as assigned to support the Advancement team and institutional goals.
