Rycon's portfolio consists of projects and developments in health care, educational (K-12 & higher ed), industrial/warehouse, commercial, multi-unit residential, retail, financial, food service/dining, governmental, hospitality, cannabis, self-storage, and LEED facilities. We excel in preconstruction planning, MEP expertise, with experienced project team members focused on the multiple markets we serve. We also have an in-house Architectural Woodwork & Specialty Fabrication Division that ships/installs nationally.

**We are seeking an experienced Office Manager at our Philadelphia office**.

**What you will do**:

- Answer and direct calls pertaining to the office.
- Schedule meetings and appointments as requested.
- Issue formal written contracts and purchase orders from drafts prepared by the Project Manager. Under the direction of the Project Manager, prepare all attachments to the Subcontract Agreement.
- Subcontractor Certificate of Insurance tracking and maintenance.
- Coordinate with corporate IT department on current stock of IT equipment and the distribution of it to new hires starting with the division.
- Issue any written correspondence to Owners, Architects, Subcontractors or other companies, from drafts prepared by the Senior Leadership team
- Perform other miscellaneous administrative tasks as needed such as copying documents, arranging for mail or overnight deliveries of documents and correspondence, preparing job files, filing project documents, and other tasks as so directed by the members of the Operations team.
- Order all office supplies and equipment.
- Confirm that items are invoiced correctly and paid on time.
- Plan in-house or off-site activities, including but not limited to, parties, celebrations, meetings and conferences.
- Assist with the closeout of a completed project including submission of all closeout documents and distributing the punch list as directed by the Project Manager.
- General support of the project team from commencement to completion.

**What you will need to be successful**:

- Minimum of five (5) years’ recent office experience.
- Ability to multi-task and prioritize work in a fast paced, high volume environment.
- Strong organizational skills.
- Excellent telephone and written skills.
- Computer skills required - Microsoft Office Suite (Word, Excel and Outlook).
- Cordial disposition with a team attitude.
- Experience in the construction industry a plus.
- Prior experience with Pro-core a major plus.
