**Key Responsibilities**:
**Accounting Duties**:
- Compile data from various companies and enter it into a daily sales report using our Google Sheets template.
- Review discrepancies in balances, unusual postings such as refunds and adjustments, and so on.
- Upload data through our integration and verify it in the accounting system daily.
- Enter invoices into the Accounts Payable platform/Accounting System for multiple companies as directed daily.
- Submit payment requests for invoices in a timely manner through various Payment platforms in use.
- Follow up with A/P and A/R aging and ensure accuracy weekly.
- Calculate & track costs per unit, day, and other metrics for key items & services from key vendors using Google Sheets.
- Provide insights on expenses to the Staff Accountant, Principals, and other stakeholders.
- Proactively speak to other staff & managers to collect all bills daily.
- Assist with other related tasks as needed.
**Administrative Duties**:
- Provide general administrative support to the Principal(s).
- Check the mail regularly.
- Compare documents, contracts, and terms.
- Communicate on behalf of the Principal(s) to keep operations running smoothly.
- Project manage multiple small-scope projects on behalf of the Principal(s).
- Ensure Principal(s) time is used effectively.
- Draft certain policies and revise agreements on behalf of the Principal(s) at their direction.
- Research public records such as city & county filings.
- Maintain warm communications with contacts when the Principal is unavailable.
**Qualifications**:
- General understanding of corporate business structures & finances.
- Excellent project management skills, preferably with tools such as Asana.
- Excellent composure and communication skills.
- Extreme attention to detail; nothing falls through the cracks.
- Versatility and ability to "figure it out" with mínimal supervision.
- Extreme proficiency with Google Sheets.
- Preference for Google Suite over Microsoft Suite.
- Previous experience in accounting is preferred.
- Proficient use of Google Apps (e.g., Google Sheets, Docs, Gmail) and Microsoft Office, with an emphasis on Excel.
- Advanced proficiency in Microsoft Excel, including the ability to create complex spreadsheets, use advanced formulas, and generate detailed reports.
- Strong understanding of proper grammar and letter-writing skills.
- Knowledge of QuickBooks.
