Job Summary:
The Management Support Services team of the Arizona State Retirement System (ASRS) is looking for an organized and flexible individual with exceptional communication and problem-solving skills to handle office duties and admin-related operations and work experience in administration and senior/executive support.

Job Duties:

- Prepare correspondence, reports, and presentations on behalf of all levels of agency management, Board of Trustees, and other staff.
- Review, edit, and format Director and Assistant Director appeal responses to members.
- Schedule appointments for/with agency Board of Trustees, Director, Deputy Director, Chief Investment Officer, Assistant Attorney General, and Assistant Directors.
- Fulfill printing requests and office supplies orders.
- Ensure the office is well-maintained, organized, and secure.
- Greet visitors, direct them to the appropriate parties, and answer phones.
- Coordinate the scheduling of conference rooms for agency meetings and coordinate with the building management company to rent conference rooms to external entities.
- Coordinate Defined Contributions Committee meetings and create/distribute meeting materials.
- Assist MSS manager with PRIDE Recognition and Bright Ideas award programs, including preparing certificates, ordering awards, and coordinating photo sessions.
- Provide support and back-up for Administrative Project Analysts, including Board/Committee meeting facilitation and staff travel arrangement/coordination.
- Provide support and back-up for building security/access.
- Provide support and back-up for requisition processing.

Knowledge, Skills & Abilities (KSAs):

- Knowledge of administrative office practices.
- Creativity in presentation development, strong problem-solving skills, and customer service.
- Excellent interpersonal, oral, and written communication skills.
- Knowledge of office software products (Word, Excel, PowerPoint, Gmail, etc.).
- Proficiency with office technology and equipment, including printers, copiers, scanners, and computers.
- Ability to generate charts/graphs.
- Ability to work independently and as part of a team.
- Ability to manage detailed work and maintain confidentiality.

Selective Preference(s):

- Prefer six months’ administrative/support experience.
- Prefer knowledge of pension/retirement systems, Arizona Revised Statutes, and open meeting law.
