**SCOPE OF POSITION**

WIT seeks an Operations Manager who will be responsible for coordinating internal operations, including assisting the Executive Director, IT and office maintenance, vendor relations, onboarding, and employee separation procedures, staff communications, and limited financial support.

**DUTIES & RESPONSIBILITIES**

**Operations**
- Oversee all agency equipment (e.g., copier, telephones, computers) in conjunction with outside vendors and IT support,
- Help with basic IT troubleshooting and disposal of old office equipment,
- Work with the building manager and landlord regarding office maintenance and suite support,
- Create and update organizational operations manual,
- Streamline employee benefits package,
- Maintain operational and organizational charts of board and staff, plus grant funders.
- Provide support to the Executive Director on projects and administrative tasks,
- IT assistance with in-person board meetings and events,
- Maintain records and files of current and past projects and operations.

**Finance Support**
- Provide accounts payable and administrative support to the finance team,
- Prepare vendor invoices and staff reimbursements for payment,
- Assist with the preparation of partner grant contract invoicing,
- Organize, manage, and audit staff timesheets for funder invoicing, and audit,
- Maintain digital and paper accounting filing systems.

**Special Projects**
- Adopt-a-Family Program - Assist the Program Director with administrative support and financial tracking,
- Database Implementation - Participate as a member of the database support team and staff support,
- Research cost-effective and time-saving programs and platforms to increase productivity.

**REQUIREMENTS**

**EDUCATION AND EXPERIENCE/TRAINING**
- Associate or Bachelor’s degree or equivalent education and experience,
- One - two years’ experience in an administrative, finance, or operations support role,
- Proficiency and experience working with QuickBooks or similar accounting software preferred,
- Ability to learn new software and systems quickly; high proficiency in Microsoft Excel required,
- Requires the ability to carry materials and equipment over 5 pounds.
