**JOB DESCRIPTION**

**RECEPTIONIST**

**REPORTS TO**: Lead CSR or Practice Manager

The receptionist serves as the initial point of contact for clients contacting or visiting the practice, embodying the professional image of the establishment to callers and visitors. Responsibilities include answering phones, greeting clients, preparing patient files, escorting clients and patients to exam rooms, managing client correspondence, and updating financial records. An exceptional receptionist excels in diffusing negative client situations and fostering client bonding.

**EDUCATION AND LICENSURE REQUIREMENTS**:

- High school diploma or equivalent.
- Desirable background in customer service.
- Typing skills (minimum 30 words per minute).

**EXPERIENCE REQUIREMENTS**:

- Significant experience in basic office functions within a fast-paced environment.
- Previous receptionist and veterinary practice experience required.

**PERSONAL REQUIREMENTS**:
The receptionist must demonstrate:

- Flexibility in attitude and work habits.
- Ability to quickly learn and utilize veterinary terminology.
- Proficiency in basic computer skills.
- Physical capability to lift and carry items up to 25 lbs, and endure extended periods of sitting and standing.
- Willingness to work in varying conditions including exposure to odors, noises, and animal-related risks.

**Veterinary Knowledge / Client Education**:

- Address client inquiries about animal care and routine procedures.
- Educate clients on over-the-counter products and preventive measures.
- Assist clients in making informed decisions regarding pet care.

**Admitting / Discharging Patients / Cash Handling**:

- Admit patients and maintain accurate medical records.
- Prepare health certificates, immunization certificates, and other documentation.
- Manage client invoices and handle payment transactions with accuracy and empathy.

**Hospitality**:

- Foster positive interactions with clients and maintain a welcoming environment.
- Manage client wait times with professionalism and positivity.

**Schedule Management**:

- Maintain an effective appointment schedule, prioritizing cases accordingly.
- Handle emergencies and urgent cases promptly.

**Computer Knowledge / Telephone Skills**:

- Handle calls efficiently and professionally using a multi-line system.
- Maintain accurate client and patient records in practice software.

**Personal Conduct / Attitude / Teamwork**:

- Cultivate positive relationships with colleagues.
- Demonstrate tact and respect, even during busy periods.
- Display genuine affection for animals and their owners.

**Client Communication**:

- Engage confidently and professionally with clients, even in stressful situations.
- Multi-task effectively while communicating with clients.
- Greet clients warmly and outline costs transparently, adhering to hospital policies.

**Facility Maintenance**:

- Uphold a professional appearance of the front office through cleanliness and organization.
- Troubleshoot and maintain office equipment.

**Recordkeeping / Filing**:

- Maintain an accurate filing system.

**Organization / Time Management**:

- Work efficiently in the presence of colleagues and clients.
- Follow oral and written instructions diligently.

**Other**:

- Perform additional duties as assigned.

Pay: $16.00 - $17.00 per hour

Expected hours: 40 per week
