Raven Production Events (RPE), The Federal Venue & Fairweather Social Club are seeking an enthusiastic and detail-oriented individual to join our team as an Event Services Associate. In this dynamic role, you will play a pivotal part in the planning, coordination, and execution of a wide range of events while providing exceptional service to our clients and guests.
**Purpose within the Organization**:
As an Event Services Associate, you will serve as a key support member for both Raven Production Events, The Federal Venue, and the Fairweather Social Club. You will assist in all aspects of event planning, from initial inquiries to post-event follow-up, while also providing general administrative support to ensure smooth operations within our organization.
**Scope of Work**:
- Provide support to Raven Productions Events, including maintaining internal contacts databases and assisting with special projects as assigned.
- Assist the Event Director in maintaining the bar inventory database and processing liquor license requests.
- Coordinate venue tours, building walkthroughs, and maintenance requests.
- Ensure attention to detail and accuracy in all tasks, with a focus on excellent time management and organizational skills.
- Communicate effectively and professionally with clients, vendors, and internal team members.
- Respond to inquiries and assist clients in booking events at The Federal Venue.
- Assist in the preparation and processing of event proposals, quotes, agreements, and invoices.
- Collaborate with internal staff to ensure all event logistics, including setup, teardown, and staffing needs, are effectively managed.
- Manage event timelines and logistics, including coordinating with clients and overseeing onsite setup and execution.
- Provide exceptional customer service and address client needs and concerns throughout the event booking process and during events.
- Maintain accurate records of all event bookings, client communications, and vendor agreements.
**Ideal Qualities Needed for the Role**:
- Previous experience in events or hospitality is preferred.
- Strong attention to detail and accuracy.
- Excellent time management and organizational skills.
- Excellent communication and interpersonal abilities.
- Knowledge of basic accounting principles and practices.
- Ability to work independently with mínimal supervision.
- Demonstrate a willingness to learn and grow with our organization, assisting in the implementation of new systems and processes as needed.
- Has a flexible schedule, working approximately 20 hours per week initially with the potential for growth to a full-time position as our company expands. As needed, work on nights and weekends.
