Office Manager/administrative Assistant

We are currently seeking a qualified Administrator to manage our office. Office hours are 8am-5pm Monday thru Friday.
**Responsibilities**:
- Answer phone calls and respond to all Customer Service requests.
- Assist the Management team with administrative tasks. Ex: Scanning, phone calls, filing, calendar management, and other duties as needed.
- Process payments.
- Reporting sales information, efficiency, damage reports, pre/post trips, and other possible reports as needed.
- Recruit, interview, and assist in the HR process (provide employee review information)
- Manage inventory. 2-3 checks per week. Monthly inventory counts are required. Eventually employee will transition into placing orders as well.
- Inventory areas will be kept clean and organized.
- Research cost effective products/parts and provide to the Finance Manager and document in Fleetio.
- Will receive new shipments and put inventory items away. All receiving paperwork will be turned into the Finance Manager. Boxes will be broken down and placed in the trash.
- Assist with any office supplies/inventory errands as needed with use of the company vehicle.
- Billing invoices to customers after services have been completed.
- Scanning in and entering in expenses.
- Auditing of bank/credit card transactions versus statements and transaction history to assist in the reconciliation process.
- Job duties entail lifting and moving packages that could exceed 50lbs. Proper safety glasses and equipment should be always used when placing and doing inventory.
- Assist in the preparation of presentations, reports, and other documents.
- Handle sensitive and confidential information with discretion.
Qualifications:
- High level of organization and attention to detail
- Professionalism
- Internal communications
- Listening
- Computer proficiency, including MS Office: Word, Excel, and Outlook
- Experience with Appfolio and Jobber is preferred but not required
- High school education with some college preferred.
- Requires 1-3 years customer service or inventory experience
- Working knowledge of Microsoft Office Suite
Pay: $17.00 - $21.00 per hour
Expected hours: 40 per week
