Roles and Responsibilities

Their primary function will be to work for a multi-specialty behavioral health private practice by managing the day-to-day activities in respect to client service billing.

 

OTHER DUTIES

  • Monitor clinicians billing backlogs.

  • Ensuring HIPAA compliance regarding any practice/client information.

  • Handles Tracking and submitting of claims (electronically or manually).

  • Aging reports (claims cleanup).

  • Updates insurance and demographics for clients as needed.

  • Processes credit card payments (co-pays and deductibles)

  • Manages payment plans as needed.

  • Manages ‘saved cards on file’ for clients.

  • Creates Statements as needed.

  • Maintains records of accounts sent to collections.

  • Responds to calls regarding billing/claims matters and resolves them as necessary.

  • Handle outgoing mail as it pertains to billing.

  • Provides recommendations for process improvements.

  • Assists with third party audits when necessary.

  • Run reports weekly for processing and billing for client accounts that have secondary insurance.

  • Acts as a liaison between all insurance companies and IHC.

  • Acts as a liaison between 3rd party billing company and IHC.

  • Record deposits for Accounts Receivable and communicates with accounting associate.

  • Process and post all Explanation of Benefits, Electronic Remittance Advice, and paper remittance.

  • Follow-up with staff on accounts until account balance equals zero or account is turned over for collection.

  • Reviews patient demographic and insurance information and updates as necessary.

  • Field questions from independent contractors regarding specific client accounts.

  • Other duties as assigned / billing related.

 

Qualifications and Education Requirements

  • Minimum of a High School Diploma and 4-year college degree or 3-5 years’ experience in a medical billing office.

  • Knowledge of company/accounting policies and procedures.

  • Ability to establish and maintain effective working relationships with staff and appropriate community agencies and to function within a multidisciplinary team.

  • Ability to keep complete and accurate records with close attention to detail and complete assigned requirements.

Expectations:

  • Expected to attend trainings and/or webinars that management feels is appropriate for continued learning and growth.

  • In office work from Monday through Thursday 9am - 2pm

  • Attending team and admin meetings.

Preferred Skills

  • Ability to communicate effectively, both verbally and in writing.

  • Ability to relate to individuals of diverse culture backgrounds and promote a culturally sensitive environment in both the workplace and community.

  • General knowledge of basic administrative office duties (i.e., electronic filing, use of Microsoft Office software to include Word and Excel, online faxing, PDF documentation, copying, etc.).
