**Administrative EXecutive Assistant**

**Salary Range**:$44.02 To 44.02 Hourly

TeleSolv Consulting has a great opportunity for you to work with the Federal Government as an **Administrative Assistant.**

**Duties / Responsibilities**:

- Performs a variety of record keeping, reporting, and informational duties in support of the office’s programs
- Processes critical program data in proprietary databases.
- Adheres to suspense dates for replies and follows up on various routine and specifically assigned analysis and/or reports.
- Assist FPS Inspector/Area Commander/District Commander/Protective Security Operations Officer by preparing PSO file audits forms on PSO contracted workforce as needed.
- Substantiate active PSO’s eligibility by reviewing current training certificates against contract current Statement of Work.
- Maintain all deliverable data pertinent to Contract (updating and filing electronically or manually) for FPS District and HQ reports/studies, auditing and archiving.
- Responsible for sorting, arranging, and maintaining records in file cabinets and/or filling folders in accordance with either an approved records management file plan, numbering system, or alphabetical order.
- Perform liaison duties by effectively communicating to and conveying messages from the PSOO, CORs, CO, CS, Inspectors, Budget Dept. and Branch Chief’s daily.
- Review invoices, verify information and ensure sufficient funds have been obligated for payment of invoices on multi-million-dollar contracts.
- Perform administrative duties as needed by the Resource Management Branch (RMB) and Security Operations Branch in support of FPS PSO requirements.
- Responsible for the creation of the FM151 (vendor payment reconciliation report) payment spreadsheet.
- Assists the Regional Financial Analyst and/or Branch Chiefs in the analysis of the Region’s revenue and expenditures related to the various funding sources to include, but not limited to, guard services and contracts.
- Assists with the data entry requirements to create G514 commitments in FFMS (or other approved DHS/MGMT/FPS database); assists with data entry requirements for creating obligations for certification.
- Assists with contract and obligation closeout processes per agency standard operating procedures.
- Assist FPS Management with the monthly, quarterly, and/or annual financial submission, execution, reconciliation and close-out of yearly appropriations based on developing and standard practices.
- Assist the appropriate branches, within FPS, in conjunction with the PSOO (When appropriate) and appropriate CORS, with the responsibility for initiating, estimating, collecting, processing orders, monitoring, reconciling, and closing Security Work Authorizations (SWA’s) in accordance with agency standard operating procedures.
- Maintains a Desk/Reference Guide for their particular position.

**Minimum Requirements**:

- U.S. Citizen.
- Active Public Trust Clearance, or the ability to obtain and maintain one.
- High school diploma or a General Equivalency Diploma (GED) from an accredited institution recognized by the U.S. Department of Education.
- (5) years of Administrative Assistant experience.
- Possess the ability to take raw information, input in specific locations for archive, and retrieval, and reporting purposes, and create various reports from the information in the various locations using whichever format (i.e., Access, Microsoft Office Excel and pivot tables) deemed appropriate, or as instructed.
- Experience in Records Management.
- Experience supporting C-Suite.
- Able to disclose COVID-19 vaccination status and abide by contract/department’s COVID-19 guidance when accessing any facility.

**Preferred Requirements**:

- Government experience.
