**About this role**

This position acts as a critical connection point between our accounting team, other departments and external stakeholders we do business with. This is a highly detail oriented position. You will be tasked to manage various improvement projects and implement structure to maintain organization. You will work and communicate with vendors, customers, and company department leaders to maintain the integrity and accuracy of information. This is a fast-paced role with a significant width of responsibilities. **Aspects of the Job**
- **Sales Operations Support**:

- Objective:

- Support and mitigate operational gaps between sales, operations and accounting that can create risks or project delays. Collaborate with the sales and operations teams to improve efficiency and integrity.
- Initial Aspects:

- Customer onboarding oversight
- Customer contract and MSA review
- Monthly audit of new customers added
- Customer billing for high value clients
- Monthly construction progress billing
- Customer Collection Outreach and escalation
- **Purchase to Payment Operations (Vendor)**:

- Receive and process vendor invoices.
- Communicate with vendors as needed to maintain account reconciliation.
- **Prevailing Wage Reporting**:

- Objective:

- Keep the company compliant with prevailing wage reporting requirements. You will manage, execute, and provide oversight on the entire prevailing wage reporting process.
- Initial Aspects
- Take over the management current prevailing wage processing requirements.
- Improve process inefficiencies and integrity weaknesses.
- **General Administrative**:

- Initial Aspects:

- Fleet Management (Insurance, Registration, Inspections, Maintenance, Employee allocation, tickets, EZ Pass, etc.)
- Company Asset Management
- Company document library
- Office management for Huntington location
- Mail (USPS) management (inter office mail also)
- Expense Reimbursement
- Insurance administration and COI requests
- **Tenant Management**:

- Initial Aspects:

- Tenant lease administration
- Support resolution of tenant issues and requests.
- **Overall Support and Backup**:

- As needed, provide support to accounting and other department processes in order to minimize/eliminate bottlenecks.

**Experience & Education Requirements**
- Demonstrated experience administering and maintaining organization across multiple departments.
- Experience with construction progress billing.
- Experience with prevailing wage reporting.
- Experience reporting and working directly with top executives of the company.
- You are an administrative champion with demonstrated wins building and improving the organizational foundation of a company.
- You have experience managing AR and/or AP processes.
- You are often relied on to hold projects and details together. People see you as the glue that holds the office together.

Pay: $25.34 - $30.52 per hour

Expected hours: 40 - 45 per week
