**Essential Job Responsibilities**
- **Task Management**: Maintain the Executive's task list, tracking progress, deadlines, and changes. Support the Executive in staying on top of responsibilities and achieving goals.
- **Meeting Coordination**: Coordinate and facilitate meetings, including preparing agendas, taking minutes, and following up on action items.
- **Filing System**: Develop and implement a structured filing system for important company documents.
- **Process and Systems Development**: Develop, implement, and maintain efficient processes and systems for organizational functioning. Document processes in Standard Operating Procedures (SOPs), monitor adherence, and continuously improve for enhanced efficiency and excellence.
- **Travel Arrangements**: Arrange all necessary travel plans for the executive, including researching, booking, and confirming flights, hotels, and ground transportation. Create detailed itineraries and manage all travel-related details for a smooth, cost-effective experience.
- **Reporting**: Generate monthly reports for departments, including Accounting, Marketing, and Sales, with accuracy and precision. Conduct research and compile data to assist the CEO in decision-making processes.
- **Onboarding and Offboarding**: Expertly manage the onboarding and offboarding processes, ensuring seamless transitions and upholding company standards.
- **Lead and Client Management**: Oversee lead and client management, ensuring effective organization and follow-up of potential customer leads and clients.
- **Additional Administrative Tasks**: Ensure the smooth functioning of the CEO's office, including ordering supplies, managing expenses, managing vendor accounts, coordinating IT support, overseeing administrative staff, and handling other administrative tasks as required.

**Job Requirements**

**Required**:

- Minimum of 5 years of experience as an executive assistant or in a similar role, preferably supporting C-level executives.
- Ability to work in a fast-paced, high-pressure environment.
- Excellent organizational and time-management skills.
- Strong verbal and written communication skills.
- Strong leadership, organizational, multi-tasking, and problem-solving skills.
- Advanced proficiency in Microsoft Office and Google Suite.
- Bachelor’s degree in Business Administration, Communications, or related field.
- Ability to work independently and handle multiple tasks with a high degree of accuracy and attention to detail.

**Preferred**:

- Strong knowledge of documenting company processes, office systems, and standard operating procedures.
- Strong understanding of the real estate and/or mortgage industry.
