Our client, a well-known entertainment company, is seeking an Executive Assistant to join their team for an 11-month hybrid contract based in Burbank, CA. This role involves on-site work from Monday to Thursday. The ideal candidate will possess 5+ years of experience supporting C-Suite executives (VP level or higher) within the entertainment industry, navigating a complex organizational structure.


Responsibilities:


  • Stay informed by reading newspapers and trade journals relevant to the office.
  • Organize and manage multiple drafts of announcements and media communications.
  • Prepare reports, summaries, and take ownership of specific tasks or projects.
  • Arrange detailed travel itineraries, considering factors like time zones and delays.
  • Interact professionally with executives and support staff at all levels.
  • Adjust schedules based on changing priorities and emergencies.
  • Coordinate meetings, conference rooms, and video calls.
  • Handle sensitive, confidential information responsibly.
  • Draft letters and emails on behalf of executives.
  • Process purchase orders, vendor contracts, and expense reports.
  • Assist with onboarding new employees and train support staff.
  • Plan and organize events like premieres, team activities, and recognition parties.
  • Provide general office support and ensure smooth communication across teams.


Requirements:


  • 5+ years of experience supporting C-Suite executives (VP level or higher).
  • Excellent written and verbal communication skills.
  • Strong multitasking, organizational, and time management abilities.
  • Advanced proficiency in Microsoft Office, SAP, Confluence, Concur, and similar tools.
  • Ability to maintain confidentiality and handle sensitive information.
  • Professional demeanor, positive attitude, and flexibility for occasional extra hours.
